Summary The Associate Producer coordinates efforts and deliverables associated with the successful management and execution of production programs and event elements as assigned by their manager. The role supports execution of production and program deliverables and ensures everything is delivered on time, within scope, and within budget. This position advocates for and manages internal Freeman processes, including coordinating and aggregating content for client presentations and program deliverables. Studio Blue, part of The Freeman Company's collective of expert brands, fills the production gap between creative agencies and basic AV providers, collaborating with clients to produce flawless events. At Studio Blue, our team members make brand stories impossible to ignore. We're built to support clients who need expert AV production to tell their story clearly and confidently in high‑stakes environments like conferences, summits, press conferences, and internal special nontraditional events. This position will support our Studio Blue team. It is eligible to work a hybrid schedule, generally requiring work in‑office and/or show‑site 2‑3 days per week based out of Dallas, TX. Essential Duties & Responsibilities Manages production timelines. Monitors services and activities to ensure they are within budget. Develops program budgets and manages financials and program from inception through delivery. Ensures timely delivery of all necessary components, properties, and materials for assigned production projects. Oversees vendors and service providers efficiently and respectfully. Works with client and production team on planning, execution, and post‑event reporting. Negotiates contracts/agreements with vendors and manages operations budget. Provides various reports and show analysis; conducts audits and reconciliations. Maintains consistent and thorough communication with all levels of employees, vendors, and service providers. Supports all aspects of live events, including: Live audio Stage lighting Corporate staging Content development Video production Registration Graphics Event flow Creative Food & beverage Transportation Parties/evening events Sourcing and managing US and international vendors Implements processes to maintain accurate data and information within internal systems and software. Provides strategic support for RFP and presentation responses. Drives collaboration between Sales, Strategy, and Creative to meet objectives for deliverables and content preparation. Works with other departments to ensure quality control and accurate, timely delivery of data/information to clients. Maintains confidential and sensitive information, files, correspondence, and records. Researches, analyzes, and compiles data and figures for presentations. Assists with vendor sourcing and aggregating costs to remain current on proposal/program budgets, travel, record keeping, expense reporting, purchasing, etc. Administers programs, processes, and projects specific to the sales and operations teams. Performs other duties as assigned. Education & Experience Bachelor's degree preferred, High School Diploma or Equivalent with relevant work experience required. Minimum 3 years of experience in the event space. Experience managing vendors, people, equipment, and timelines. Exposure to and previous experience with budget management of $100K+. Ability to quickly identify or anticipate problem areas and develop solutions. Flexible, self‑motivated, energetic, and efficient with time. Strong proficiency in Microsoft Excel, Word, and PowerPoint. Outgoing, upbeat personality; enjoys teamwork; efficient, considerate, and organized with a keen eye for detail. Strong customer service orientation with proven written and verbal communication skills preferred. Must be independent, resourceful, and solution‑oriented.
