Role Description
The Senior Client Services Representative will play a vital role in ensuring client satisfaction by managing key client interactions and supporting various financial operations. Responsibilities include handling inquiries, optimizing client relationships, coordinating with internal teams, offering operational support, and ensuring exceptional customer service. This is a full-time, on-site position located in Lansdowne, VA. Core Responsibilities
Account Lifecycle Management:
Direct the opening of new accounts across various platforms; manage the transfer of assets, ensuring all documentation is accurate and processed within internal and regulatory timelines. Transaction Execution:
Oversee and execute high-priority financial transactions, including wire transfers, journals, check requests, and periodic distributions, with a zero-error threshold. Proactive Client Engagement:
Maintain a rigorous "reach out" calendar to update clients on account status, missing documentation, or upcoming administrative requirements before the client feels the need to ask. Advisor Support & Task Management:
Act as the primary assistant to the Financial Advisor by preparing meeting agendas, following up on post-meeting action items, and managing the advisor’s daily task queue. Reporting & Data Analysis:
Generate and distribute monthly performance and activity reports; ensure all client data is verified and formatted for professional presentation. CRM Mastery:
Serve as the "power user" for the firm’s CRM, ensuring every interaction is logged, workflows are triggered correctly, and data integrity is maintained. Process Improvement:
Regularly evaluate existing operational workflows (onboarding, reporting, etc.) and implement "streamlined" updates to reduce friction and improve the client experience. Required Skills & Experience
Experience:
5+ years in a client service or operations role within a wealth management or brokerage environment. Systems Proficiency:
Deep experience with CRM software and custodian platforms (e.g., Schwab, Fidelity, or LPL). Operational Mindset:
A natural inclination toward creating checklists, automating repetitive tasks, and organizing digital files. Communication:
High-level verbal and written communication skills suitable for interacting with high-net-worth individuals and families.
