
Assistant Property Manager | The Mill at First Hill

The Assistant Property Manager supports the daily operations of a 358-unit affordable community, The Mill at First Hill, by assisting with leasing, resident relations, financial administration, and compliance activities. Working under the direction of the Property Manager, this role helps ensure the property operates efficiently, maintains high levels of resident satisfaction, and meets financial performance goals. This position also provides valuable experience and development opportunities for individuals seeking to grow into a Property Manager role. This position is Monday through Friday, 9:00 AM to 6:00 PM.
Job Duties & Responsibilities Leasing & Resident Relations
Assist with leasing activities, including showing apartments, processing applications, and preparing lease agreements.
Support resident retention efforts by assisting with renewals, resident events, and community engagement programs.
Respond to resident inquiries and service requests professionally, escalating issues to the Property Manager when appropriate.
Maintain accurate resident files and ensure compliance with SRM policies and fair housing regulations.
Financial & Administrative Support
Assist in collecting and posting rent, fees, and other payments.
Help prepare property-level financial reports, rent rolls, and variance summaries as directed by the Property Manager.
Support the Property Manager with budget preparation and expense monitoring.
Process invoices, track accounts payable, and assist in reconciling accounts.
Compliance & Risk Management
Assist in ensuring compliance with local, state, and federal regulations, including affordable housing program requirements when applicable.
Help prepare for audits, inspections, and regulatory reporting.
Monitor lease files and documentation for accuracy and compliance.
Property Operations & Team Support
Support daily office operations, including phones, resident communications, and vendor coordination.
Partner with the Maintenance Supervisor to track service requests, unit turns, and preventative maintenance.
Participate in regular property inspections, ensuring common areas and amenities are maintained to SRM standards.
Provide leadership coverage in the absence of the Property Manager.
Reporting & Collaboration
Prepare weekly and monthly reports as requested by the Property Manager and Regional Portfolio Manager.
Collaborate with leasing, maintenance, compliance, and accounting teams to ensure operational alignment.
Escalate significant operational or resident issues directly to the Regional Portfolio Manager.
Required Skills & Experience
High school diploma or equivalent
3+ years of experience in property management, leasing, or real estate administration, including Low Income Housing Tax Credit (LIHTC)
Knowledge of property management policies and leasing procedures, including fair housing laws and compliance requirements
Strong customer service, communication, and interpersonal skills, including effective problem-solving and appropriate escalation of complex issues
Strong organizational skills with attention to detail and ability to manage multiple priorities
Basic financial knowledge, including rent collection and property-level reporting
Proficiency in property management software (Yardi, RealPage, or similar) and Microsoft Office Suite
Preferred Skills & Experience
Bachelor’s degree in Business, Real Estate, or related field
Professional certifications such as ARM or CAM
Travel: 0-10%
Physical Requirements: This role is primarily office-based and requires frequent sitting and standing. Responsibilities may include walking, bending, navigating stairs, and occasionally lifting up to 25 pounds.
The hourly rate for this position in the Greater Seattle area is $34 - $36.
