Overview Job Title: Customer Service Representative (Industrial Sales Support)

B&H Distributors is hiring a detail-oriented and proactive Customer Service Representative to support our sales and operations team. This role is critical in ensuring accurate order processing, timely vendor coordination, and maintaining strong customer relationships. The ideal candidate will thrive in a fast-paced industrial distribution environment and be comfortable handling multiple priorities simultaneously.

Responsibilities

Order & Quote Management

Prepare and process customer quotes, sales orders, purchase orders, and stock orders

Assist outside sales representatives by obtaining vendor pricing and generating competitive quotes

Ensure all orders are entered accurately and in a timely manner

Vendor Coordination

Communicate with vendors daily to:

Request pricing and product availability

Obtain and track estimated time of arrival (ETA) updates

Follow up on open orders to ensure timely delivery and resolve delays proactively

Inventory Management

Monitor inventory levels and identify replenishment needs

Process stock replenishment orders, frequently coordinating with internal team members (e.g., Chase)

Help maintain optimal inventory levels to support customer demand

Customer Support

Serve as a point of contact for customer inquiries and order updates

Provide support to legacy or key accounts as needed

Maintain a high level of customer service and responsiveness

Documentation & Accuracy

Ensure all transactions are properly documented with supporting paperwork

Maintain organized records for:

Quotes

Orders

Vendor confirmations

Verify pricing, quantities, and terms on all transactions

Specialized Vendor Coordination

Manage and process all orders associated with Sherwin-Williams products

Ensure compliance with vendor-specific requirements and ordering processes

Required Skills & Qualifications

2+ years of experience in customer service, order processing, or inside sales (industrial or distribution experience preferred)

Strong organizational skills with high attention to detail

Ability to manage multiple tasks and prioritize effectively

Excellent communication skills (written and verbal)

Proficiency in Microsoft Office (Excel, Outlook, etc.)

Experience with ERP or order entry systems is a plus

Preferred Qualifications

Background in industrial distribution, construction materials, or corrosion control products

Experience working with vendor quotes and supply chain coordination

Familiarity with inventory management processes
