A well-established private equity investment firm with a collaborative, high-performance culture is seeking an experienced Executive Assistant to support its Marketing Team.
Position Overview
The Executive Assistant will provide high-level administrative support to a Managing Director, Principal, and Vice President, serving as a critical partner in ensuring smooth day-to-day operations and flawless execution across internal and external initiatives.
Location & Schedule
- Office: Midtown East, NYC
- Hybrid: 3 days in-office (flexibility required; up to 4 days as needed)
- Hours: 8:30 AM – 5:30 PM (with flexibility as business demands)
Compensation
- Base Salary: $90,000 – $100,000
- Bonus: Discretionary
- Overtime: Not eligible
Key Responsibilities
- Provide comprehensive administrative support to senior team leadership
- Manage complex calendars, scheduling, and meeting coordination
- Screen and route calls, emails, and correspondence with discretion
- Interface regularly with prospects and investors, including meeting coordination and inquiry handling
- Track deliverables and ensure deadlines are consistently met
- Proactively manage team logistics to ensure meeting preparedness
- Coordinate extensive domestic and international travel, including visas and detailed itineraries
- Prepare and update presentations using PowerPoint
- Maintain and update internal databases and CRM systems
- Manage high-volume expenses using Concur
- Utilize Salesforce for tracking and reporting
- Coordinate client-facing events, including the Annual Investor Conference
- Collaborate cross-functionally with internal teams
Qualifications & Experience
- 5–7 years of Executive Assistant experience in a corporate environment (Financial Services strongly preferred)
- Bachelor’s degree preferred
- Advanced proficiency in MS Outlook, Word, Excel, PowerPoint
- Hands-on experience with Concur and Salesforce
- Exceptional organizational and multitasking skills
- Ability to operate calmly and effectively under pressure and last-minute changes
- Strong judgment, discretion, and respect for confidentiality
- Polished, professional demeanor with excellent communication skills
- High emotional intelligence and ability to anticipate needs
- Self-motivated, proactive, and team-oriented
