Confidential Opportunity: Executive Assistant – Marketing Team

A well-established private equity investment firm with a collaborative, high-performance culture is seeking an experienced Executive Assistant to support its Marketing Team.


Position Overview

The Executive Assistant will provide high-level administrative support to a Managing Director, Principal, and Vice President, serving as a critical partner in ensuring smooth day-to-day operations and flawless execution across internal and external initiatives.

Location & Schedule

  • Office: Midtown East, NYC
  • Hybrid: 3 days in-office (flexibility required; up to 4 days as needed)
  • Hours: 8:30 AM – 5:30 PM (with flexibility as business demands)

Compensation

  • Base Salary: $90,000 – $100,000
  • Bonus: Discretionary
  • Overtime: Not eligible


Key Responsibilities

  • Provide comprehensive administrative support to senior team leadership
  • Manage complex calendars, scheduling, and meeting coordination
  • Screen and route calls, emails, and correspondence with discretion
  • Interface regularly with prospects and investors, including meeting coordination and inquiry handling
  • Track deliverables and ensure deadlines are consistently met
  • Proactively manage team logistics to ensure meeting preparedness
  • Coordinate extensive domestic and international travel, including visas and detailed itineraries
  • Prepare and update presentations using PowerPoint
  • Maintain and update internal databases and CRM systems
  • Manage high-volume expenses using Concur
  • Utilize Salesforce for tracking and reporting
  • Coordinate client-facing events, including the Annual Investor Conference
  • Collaborate cross-functionally with internal teams


Qualifications & Experience

  • 5–7 years of Executive Assistant experience in a corporate environment (Financial Services strongly preferred)
  • Bachelor’s degree preferred
  • Advanced proficiency in MS Outlook, Word, Excel, PowerPoint
  • Hands-on experience with Concur and Salesforce
  • Exceptional organizational and multitasking skills
  • Ability to operate calmly and effectively under pressure and last-minute changes
  • Strong judgment, discretion, and respect for confidentiality
  • Polished, professional demeanor with excellent communication skills
  • High emotional intelligence and ability to anticipate needs
  • Self-motivated, proactive, and team-oriented
