Central Services Supervisor

Job Summary: Under direction, to plan and supervise central duplication, mail and office supply stores. To perform related work as required. Essential Functions: Plans, organizes, assigns and supervises the receipt, sorting and delivery of U.S. and interoffice mail. Evaluates employees, oversees postage, Central Services budget, public relations with postal department as required. Provides feedback to employees throughout their review period. Provides feedback during employee performance review that is timely, specific, honest, and designed to help the employee succeed. Monitors central office supply levels and originates requisitions to insure maintenance of an adequate inventory. Stores, controls access and issues central office supplies to using departments and divisions. Conducts physical inventories of supplies and maintains appropriate logs and records. Operates duplicating, folding, inserting and binding equipment. Maintains records of charges for services and collects fees for services outside the organization. Receives payment for over-the-counter work for residents, and bills to charge accounts held by some community clubs. Prepares and balances deposits. Is responsible for coordination of major photocopy reproduction jobs, i.e. budget manuals, annual carrying charge letters and any other reproduction needs of staff. Drives a vehicle to meetings, workshops, and other job related responsibilities. Regular attendance required. All duties performed on-site for the Community. Non-Essential Functions: Monitors copy usage against two photocopy machines to avoid additional usage costs. Monitors equipment needs, places calls for service repairs when required. Oversees service agreement to ensure all critical equipment is covered for service calls and repair. Works closely with Business Services Manager to keep manager advised of Central Services needs and requirements as they change or occur. Equipment Operated: Truck, duplicating, folding, inserting, binding, and postage meter equipment. Personal computer, printer, Cannon reader printer, copy machine, calculator and telephone. Work Environment: While performing the duties of this job, the employee is in a climate controlled indoor office and normal outdoor elements. Desirable Qualifications: Graduation from high school and considerable experience in stores, office equipment operations or mail processing. Or any equivalent combination of education and experience which produces the following: Knowledge of the occupational hazards and safety precautions of the job. Knowledge of the practices, systems and procedures of modern office equipment. Knowledge of the organization and functions of the corporation. Ability to supervise the work of subordinate clerical personnel. Ability to maintain adequate and accurate production of repetitive work during normal work Periods. Ability to perform manual work requiring periods of standing, considerable lifting; physical strength and stamina appropriate to the area of assignment. Ability to lift copy paper cartons weighing approximately 50 pounds as well as cartons of supplies of varying weights. Ability to establish and maintain effective working relationships with superiors, associates, subordinates, officials and employees of other divisions and agencies. Special Requirements: Possession of a valid California driver's license. Physical Requirements: Requires standing for periods of up to 4 hours. Walking and repetitive motion for periods of up to 3 hours. Frequent lifting and carrying of up to 20 lbs. Occasional lifting and carrying of up to 100 lbs. Frequent fingering and grasping, occasional climbing, crouching, kneeling, pulling, pushing reaching and stooping. Occasional working at heights of up to 8 feet. Mental Requirements: Reading, detailed work, problem solving, training, math, reasoning, verbal and written communications, customer contact, multiple concurrent tasks and constant interruptions.
