
Customer Service & Leasing Coordinator

Job Title
Provides customer service and administrative support for regional property operations while assisting with leasing and marketing activities. Serves as a primary point of contact for tenants and supports the leasing team with marketing materials, property listings, and general leasing-related tasks. This role is designed as an entry-level position with opportunities to develop knowledge of leasing functions. Essential Job Functions
Customer Service & Property Support Serve as a primary point of contact for tenants, providing prompt and professional assistance Build and maintain positive tenant relationships to support satisfaction and retention Receive and respond to tenant service requests and coordinate with vendors or maintenance teams for resolution Track and follow up on work orders to ensure timely completion Maintain tenant records, including insurance certificates and compliance tracking Obtain tenants' acknowledgement of financial responsibility before executing any work order for services that are tenants' responsibilities Assist with property operations, including maintenance scheduling and general administrative support Process accounts payable. Code invoices appropriately, route to appropriate manager(s) for approval, and forward to corporate accounts payable department for payment Manage utility transfers and vendor communication Maintain organized files, records, and databases Support internal teams (Property Management, Leasing, and Maintenance) with day-to-day operations Track and manage property life safety system inspections Manage and maintain property data to support ESG initiatives Maintain bi-weekly meeting agenda Leasing Support Assist the leasing team with day-to-day activities and general support Work with the marketing team to create and update flyers, brochures, and other materials for available spaces Assist with drafting and sending marketing emails to brokers regarding property availability Maintain and track broker listing agreements, including monitoring expiration dates and supporting renewals Pull basic tenant credit information (e.g., D&B reports) to support lease approval and financial review processes Help keep property listings (website, CoStar, LoopNet, etc.) accurate and up to date Provide general support with leasing documents, reports, and tenant communications as needed Maintain checklists, organized files, and records related to leasing activities Other Duties Other tasks and duties as assigned. Knowledge, Skills, and Abilities Associate's or Bachelor's degree preferred Minimum of 2 years of customer service experience in an office environment Strong interpersonal and telephone communication skills Strong written and verbal communication skills with attention to detail Proficient in Microsoft Office applications (Word, Excel, Outlook) Ability to collaborate with internal teams across corporate and regional offices Ability to interact professionally with external contacts including tenants, vendors, and brokers Strong organizational skills and ability to manage multiple tasks Willingness to learn and take on new responsibilities Physical Requirements The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Work requires occasionally stooping and bending when verifying completion of repairs or maintenance. Work requires sitting for extended periods of time when using computer system. Work is performed in a normal office environment where there are relatively few physical discomforts due to dust, dirt, noise, and the like. Work requires frequent travel to properties.
