Purpose:
Working in conjunction with direct service staff, provide administrative oversite in the delivery of all Freewheelin’ youth trainings and programs.
Required Hours:
Full-time ·
40 hours/week Tuesday -- Saturday, and 2-3 evenings/month
Duties and Job Description: In your role, you will assume full responsibility and accountability for: ·
Providing administrative oversite in the coordination and scheduling of
all
Apron (bicycle training) programs, the Bike Lab, and Community and Training Bike Rides; ·
Coordinate the securing the necessary staffing (contracted or volunteer), supplies, equipment and space needed to deliver scheduled programs to ensure effectiveness; ·
Developing and implementing an annual outreach plan to identify youth serving partners and community residents enroll
their youth in Freewheelin’ programs; ·
Providing oversight in the administrative management of the Youth Education and Employment Training (YEET) apprentices and the scheduling of their educational programming; ·
Serving as the organization’s primary liaison between youth participants and their families, helping to enroll and retain participants in programming ; ·
Collecting enrollment data and training outcomes of all Freewheelin’ participants; ·
Managing of all data and statistics for program management and evaluation purposes. ·
Manage all volunteers who work in the youth program
Specific Responsibilities include:
Administrative Oversite of Youth Bicycle Programs ·
Develop and implement an annual outreach plan to identify, enroll and retain youth in Freewheelin’ youth bicycle training programs: o
Prepare marketing outreach materials for distribution o
Cultivate with like-minded youth serving organizations to provide Apron programs to their youth; establish and manage the formal partnerships with these partners; o
Monitor and manage all inquiries, registration and collection of required information and fees from public.dire ·
Develop, schedule and publish of
all
Apron (bicycle training) programs, the Bike Lab, and Community and Training Bike Rides. ·
In coordination with the Bicycle Training Coordinator, secure and schedule the necessary staffing (contracted, apprentices or volunteers) to assist in the delivery of bicycle programming and secure training location; ·
In coordination with the Director of Retail Sales, secure supplies, equipment and tools to deliver scheduled programs; ·
Serve as the liaison between youth participants and their families during programming, communicating relevant information about the training. Remain in contact with participants and families post training, encouraging the retention and participation in additional training and programming activities.
Administrative Oversite of the Youth Education and Employment Training (YEET) Program ·
In cooperation with the administrative, program and retail management staff, oversee the identification and hiring of qualified youth to serve as a YEET apprentices o
Cultivate establish and manage partnerships with organizations, such as Teenworks, to identify potential apprentices; o
Develop and distribute application materials and then monitor and manage all inquiries about apprenticeship openings; o
Arrange and oversee the interview process, enabling program staff to meet and interview all candidates; in conjunction with staff recommendations, extend and manage employment arrangements with apprentices; ·
In conjunction with the Bike Program Coordinator and Director of Retail Operations, assign work and training tasks and schedule the weekly hours for each apprentice. ·
Oversee the administrative management of the apprentices, collecting HR paperwork, and instruct and oversee the apprentices’ timekeeping records and documenting their tasks completed. ·
In coordination with the Bike Training Coordinator and the Director of Retail Operations, manage the contracting and scheduling of any third-party training for apprentices (eg: customer service training such as GEAR, S(ocial) E(motional) L(earning) SEL Training and the Entrepreneurship class.)
Data Development and Management ·
Input and track all contact information and demographic data for all Freewheelin’ program participants into the organization’s
Client Management System; ·
Input and track training program completion and relevant outcomes for every participant, on-site and off ·
Develop and manage meaningful analyses and reports of the data collected Report information gathered to leadership ·
Working with leadership, provide data and information in the preparation of grant requests and final reports.
Volunteer Management ·
Respond to all Volunteer Inquiries, providing information regarding opportunities and requirements ·
Interview and conduct background searches of all volunteers working directly with Freewheelin’ Youth; integrate qualified, vetted volunteers into program ·
Coordinate and provide appropriate volunteer recognition
General Support: ·
Support organization events ·
Additional duties as assigned
Physical Requirements: ●
Some lifting up to 50 lbs will be required, as well as the ability to bend, stand, and file ●
Must be able to move on your feet for up to 8 hours at a time
Work Environment: ●
Non-traditional work environment in a warehouse classroom space; off site
Qualifications: ●
Bachelor’s Degree preferred ●
Experience in project and program management is required ●
Experience recruiting, managing
and working with youth ●
Experience in training and managing volunteers ●
Experience with data reporting and data management is preferred ●
Strong verbal and written communication skills, ●
Attention to detail ●
Proficient in Microsoft Office, Google Drive; experience with a CMS is helpful
