Graduate Assistant, Meetings, Events and Conferences The MEC Graduate Assistant will work with the MEC professional staff and campus partners to assist with all aspects of internal and external events. This year‑round, highly focused customer‑service role reflects the significance of events in promoting a spirit of interdepartmental cooperation and building external community support.

Responsibilities

University Event Planning and Development – work as a Junior Event Planner.

Assist the professional staff with the design, development, and implementation of arrangements for events.

Assist with the preparation of needed materials for events.

Coordinate with campus partners to provide logistical event support such as police, housekeeping, food service, and technology.

Participate and assist during day‑of event activities from setting up to greeting guests and troubleshooting throughout.

Deliver and set up materials at event locations on University grounds, working cooperatively with all university departments to provide necessary physical support.

Prepare and place necessary directional signage for events.

At the request of the professional staff, order and/or contract special equipment or services for the events when needed (e.g., entertainment, lighting, various rentals).

Collaborate with the MEC scheduler on comprehensive university space utilization and event scheduling, including room photos and layouts/diagrams.

Assist in the preparation of summer conferences and camps with calendars, supplies, and physical arrangements.

During the summer, operate as the Lead Conference Assistant, working with a team to ensure a high level of customer service to clients and camp participants.

Support and promote the importance of internal university events and external conferencing events to the university community, establishing opportunities to promote Lewis University at outside events.

Minimum Qualifications

Bachelor’s degree required.

Must be enrolled in a Lewis University graduate school program.

Must be adaptable, possess initiative, self‑motivation and be detail‑oriented.

Must be a strong communicator and deliver exceptional customer service.

Must possess excellent knowledge of the English language, including spelling, punctuation, and grammar.

Must be able to lift and transport heavier items for event set‑ups.

Must be skilled in computer usage and technology.

Must be willing to work with flexible schedules involving evenings, weekends, and holiday hours.

Preferred Qualifications

Interest in event planning, public relations, and marketing.

Work Hours Part‑time; minimum of 20 hours per week; year‑round position. Evening, weekend, and summer hours required.
