What You Will Do
Receive, coordinate, analyze, and evaluate Work Order and Project documentation to ensure accuracy, traceability, verifiability, and completeness for natural gas transmission, distribution, storage, and processing facilities.
Ensure adherence to 49 CFR Part 192 code requirements.
Perform and/or assist in state and federal records audits.
Validate records to ensure accurate metadata for future retrieval and viewing by compliance personnel during audits and for operations personnel during emergencies.
Assist and train team members in analyzing and identifying incomplete, missing, or conflicting pipeline information.
Gather and update records management workflow and procedure documentation with user input.
Assist customers with questions and provide direction in the absence of a supervisor or team lead.
Additional Qualifications and Responsibilities
At least 5 years of relevant work experience or a combination of experience and education.
Certification in Records Management is preferred.
Records management experience in the natural gas distribution or pipeline industry.
Strong knowledge and understanding of document management systems, data processing, and storage.
Proficiency with scanning, capture software, and Adobe Pro.
Strong knowledge of company gas pipelines and facilities.
Working knowledge in reconciliation of X‑ray and GPS data spreadsheets.
Skilled in naming convention standards and workflows.
Ability to import and modify work order documents in the company repository with accurate metadata.
Proficient use of specialized industry document repository and capture programs, along with specialized equipment.
Solid knowledge and understanding of pipeline records document types, company standard procedures, and 49 CFR Part 192 record‑keeping requirements.
Follow department engineering records procedures, workflows, and naming standards strictly.
Determine document types in current and historical documentation accurately.
Manage and process large volumes of documents and complete tasks within deadlines, even under stressful situations.
Determine missing required WO documents in project documentation and acquire them.
Communicate effectively, both orally and in writing.
Physical Demands Responsibilities involve balancing, bending, stooping, climbing, crawling, and carrying items up to 20 pounds. The position includes grasping, kneeling, light to moderate lifting, reaching overhead, repetitive motions, sitting, and standing. Visual skills needed include seeing screens, detecting colors, and reading fine print. Hearing is also required.
Mental Requirements Understanding, remembering, and applying oral or written instructions and other information. Understanding complex problems and exploring alternative solutions collaboratively. Coordinating thoughts and ideas into clear terminology. Prioritizing and coordinating a short‑term work schedule. Making decisions with moderate impact on the immediate work unit and monitoring effects beyond it. Following basic instructions and guidelines. Completing routine forms, composing letters, outlines, memoranda, and basic reports. Communicating with individuals by telephone.
