Executive and Personal Assistant

Our client, a high-profile Principal, is seeking a seasoned Executive/Personal Assistant to support him across all facets of his personal, philanthropic, and professional life in Fort Lee, NJ. This role sits within a small, tight-knit team of three and requires a highly polished, patient, and resourceful individual who is comfortable operating in a fast-paced, high-touch environment. The ideal candidate will have at least 10+ years of experience supporting a senior executive, exceptional communication skills, and the ability to manage a complex, ever-changing schedule.

This role is 5x days/week in-office, with the Principal working remotely and based between New York and Florida.

RESPONSIBILITIES

Manage heavy phones, ensuring seamless communication between the Principal across multiple locations (NY, Florida, and international travel)

Handle extensive calendar management, including frequent updates and distribution of weekly schedules to the Principal, family, and staff

Coordinate all travel arrangements including commercial flights, charters, trains, drivers, and accommodations (hotels, private homes, villas)

Draft and manage all correspondence including emails, letters, invitations, and philanthropic outreach

Maintain a detailed daily log of calls, meetings, and key activities

Support philanthropic initiatives and special projects, including art collection organization and external partnerships

Interface regularly with household staff, including the Florida team, to ensure continuity and communication

Coordinate medical appointments, maintain records, liaise with doctors and pharmacies, and track ongoing care

Monitor incoming mail, invoices, and credit card statements, flagging any discrepancies to the appropriate parties

Maintain and organize both digital and physical filing systems

Assist with distribution of Op-Eds and coordination with external vendors (e.g., website team)

Handle ad hoc projects and personal tasks as needed

REQUIREMENTS

Minimum of 10 years of experience supporting a senior executive in a fast-paced environment

Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Exceptional written and verbal communication skills

Ability to manage complex scheduling and high-volume communication with discretion and professionalism

Highly organized, detail-oriented, and proactive with the ability to anticipate needs

Strong interpersonal skills with a polished, calm, and patient demeanor

Ability to work both independently and collaboratively within a small team

Comfortable handling confidential and sensitive information

Flexible and adaptable to an ever-changing environment

Bachelor's degree required

SALARY Up to $120K + discretionary bonus + benefits

HOURS 10/10:30 AM – 6/6:30 PM (flexibility required for after-hours and occasional weekend communication)

Monday–Friday, 5 days/week in-office in Fort Lee, NJ.
