Overview The Marketing & Communications Coordinator plans, manages, and executes Capstone’s full portfolio of investor events—across in‑person, hybrid, and virtual formats—while supporting the broader Marketing & Communications team’s digital marketing and thought‑leadership initiatives. The role requires collaboration across internal teams and external stakeholders to enhance investor engagement, drive sponsorship revenue, and elevate Capstone’s brand presence. Reporting to the Head of Communications & Marketing, the coordinator works closely with Client Solutions, Graphic Design, Legal & Compliance, and other functions to deliver high‑impact events and marketing campaigns aligned with Capstone’s strategic objectives.
Responsibilities and Impact Event Management
Plan, manage, and oversee all phases of investor events (webinars, breakfasts, lunches, dinners, roundtables, and large‑scale summits of 300+ attendees).
Collaborate with Client Solutions to develop and vet attendee lists using Cvent, Backstop, and other event‑management platforms.
Cultivate and maintain relationships with banks, exchanges, vendors, and investors to secure sponsorship dollars and drive event attendance. Target: $650 k in GVS sponsor dollars and 3 new managers for GVS in 2026.
Source and secure venues, catering, speakers, vendors, and supplies; lead contract negotiations to align terms with budget and event requirements.
Manage event budgets using Excel, track sponsorship funds, expenses, and budget overflow; oversee accounts payable to ensure timely vendor payments and receipt of sponsorship fees.
Source, prepare, and support speakers to ensure successful presentations and compelling event agendas.
Report weekly on event attendees using registration platforms and CRM systems (Cvent, Backstop); develop comprehensive reports for stakeholder review.
Drive process automation and centralization: 20% automation and 100% centralization of event processes, implement Cvent/Backstop API integration, and transition to a new webcast provider in 2026.
Marketing & Communications Support
Develop and execute digital marketing campaigns to promote events, including LinkedIn posts, email invitations, reminders, and distribution list management.
Support the development of event agendas and topic ideation to position Capstone as a thought leader; coordinate speaker preparation.
Update and maintain event pages, registration forms, and related web content to ensure a seamless user experience.
Implement comprehensive communication strategies across websites, invitations, reminders, and social media channels to maximize event attendance and engagement.
Collaborate with the Graphic Designer to ensure all event materials adhere to Capstone’s Brand 2.0 guidelines.
Skills and Experience
2–4 years of experience in event management, preferably in investor relations, corporate events, or the financial services sector.
Proven track record of managing large‑scale events (100+ attendees) across in‑person, hybrid, and virtual formats.
Strong budget‑management skills, including experience tracking expenses, managing vendor payments, and optimizing costs.
Proficiency in event‑management platforms (Cvent preferred) and CRM systems (Backstop or similar).
Excellent negotiation skills and experience managing vendor relationships.
Strong project‑management abilities with capacity to manage multiple events simultaneously and meet tight deadlines.
Exceptional communication and collaboration skills, with ability to work cross‑functionally across teams.
Experience with digital marketing and social‑media promotion (LinkedIn, email campaigns).

Base salary range: $70 000 – 100 000 USD. Base pay is determined by experience, skills, training, location, certifications, education, and applicable minimum wage requirements. This role may also be eligible for performance‑based incentives and an annual incentive plan.
