Overview
The Proposal Management Specialist is responsible for leading and executing high‑quality proposal pursuits within an AEC or professional services environment. This role owns the proposal process end‑to‑end—from kickoff through submission—and partners closely with technical staff, business development, and leadership to deliver compliant, well‑written, and visually polished materials. The ideal candidate brings hands‑on proposal management experience in an AEC setting, strong writing and layout skills, and the ability to manage multiple pursuits simultaneously. Key Responsibilities
Proposal & Pursuit Leadership
Lead the full proposal lifecycle for AEC pursuits, including proposals, SOQs, interview materials, and presentation content, from kickoff through final submission. Facilitate pursuit strategy discussions, kickoff meetings, teaming coordination, and internal reviews. Ensure strict compliance with RFP/RFQ requirements, formatting guidelines, and submission deadlines. Writing, Editing & Visual Layout
Develop clear, compelling proposal narratives in collaboration with engineers and technical subject matter experts. Create visually polished, brand-aligned materials using Adobe InDesign and Microsoft Office. Edit and proofread content for clarity, consistency, accuracy, and compliance. Marketing Operations & Resource Management
Maintain and update proposal templates, resumes, project sheets, and marketing content libraries specific to AEC pursuits. Manage CRM and proposal databases to support pipeline tracking and efficient reuse of content. Support Go/No-Go decision-making and help monitor procurement portals and upcoming opportunities. Collaboration & Communication
Work closely with business development and technical teams throughout the pursuit process. Coordinate schedules, inputs, and reviews across multiple stakeholders. Help train staff on proposal writing, interview preparation, and presentation best practices. Broader Marketing Support
Contribute to additional marketing initiatives as needed, including presentations, internal communications, and brand-related materials. Qualifications & Skills
Required: Minimum 4+ years of experience in an AEC environment with direct responsibility for proposal management. Proven hands-on experience managing proposals, SOQs, and interview pursuits for engineering, architecture, or construction firms. Strong proficiency in Adobe InDesign, Microsoft Office, and CRM platforms used in AEC marketing. Solid understanding of AEC proposal workflows, Go/No-Go processes, teaming, and compliance requirements. Excellent organizational skills, attention to detail, and ability to manage multiple deadlines. Comfortable working closely with technical staff and leading pursuit activities. Strong written and verbal communication skills with a collaborative, proactive approach.
