Administrative Assistant to Director of Bilingual/ESL Services
Reports To: Executive Director of Bilingual/ESL Services Primary Purpose: To assist Emerging Bilingual Support services, Bilingual program, and ESL program, to run efficiently. To utilize organizational and secretarial skills in a unified way to promote a strong and cohesive department. Qualifications: Education/Certification: High school diploma or GED Special Knowledge/Skills: Knowledge of and ability to use computer with emphasis and word processing Knowledge of Student Accounting Handbook and PEIMS Data Standard Knowledge of federal budget guidelines Strong organizational, communication, and interpersonal skills Experience: Three (3) years of general clerical/secretarial experience, preferred Major Responsibilities and Duties: Answer telephone and direct calls to appropriate personnel or take messages. Assist with daily activities and keeping calendar. Assist with PEIMS. Maintain inventory and distribution of all language assessment forms, protocols, and tests. Provide and assist in the training of the state-approved language assessment for enrollment specialists and/or personnel administering language tests to students. Coordinate with enrollment specialists of students that were assessed and help inform proper campus and program placement. Prepare travel requests for personnel workshops and conferences. Purchase items for ESL teachers, Bilingual teachers, and Title III events from various stores and deliver to designated campus and teacher. Communicate with enrollment specialists, campuses, and ESL teachers to prepare EB PEIMS coding, and send reports to PEIMS's coordinator. Run current EB/LEP report, migrant, monitored, and Immigration reports for ESL teachers to assist with accuracy. Send collected Migrant Survey's to Region 10 for review and follow-up as needed. Receive PEIMS documentation from ESL teachers and input it into Skyward from Google Form. Maintain office equipment and arrange for service as needed. Purchase, inventory, and send language testing assessments to campuses and/or enrollment specialists as needed. Prepare agenda for meetings, including handouts as needed. Order Title III materials and maintain inventory and records for auditing purposes. Prepare procedures and enrollment guidelines for enrollment specialists for emerging bilingual students. Assist with Skyward notifications for parents. (Summer School, End of the Year LPAC notices, and beginning of the year parent notification.) Be available by phone, email, or video conferencing to confer with district personnel, students, and/or parents. Communicate with students or parents on a regular basis via phone or video conference, email, or district-approved website. Maintain confidentiality of information. Follow district safety protocols and emergency procedures.
