THE POSITION
The Studio Coordinator role exists to provide critical support to our firm’s people and projects and covers a wide range of responsibilities, including operational, administrative and light marketing support. The responsibilities listed below include the general scope of the role, and some tasks and responsibilities that we expect a candidate to grow into. Not every task will necessarily be required daily, and prior experience with all the listed tasks is not expected; we welcome applicants who are eager to learn, grow, and develop within the position. Candidates should bring excellent communication skills (written, verbal, graphic, and interpersonal), strong organizational and information management abilities, and an overall comfort with learning and using software and technology. A successful candidate has an open and flexible mindset and is curious, technology-savvy, self-motivated, detail-oriented, and thrives on organization.

RESPONSIBILITIES
General Studio Management
Maintain general office organization and professional presentation.
Receive and welcome in-person clients and visitors.
Handle mail and shipping logistics.
Receive incoming general office emails and respond or distribute accordingly.
Prepare and tidy conference rooms before and after meetings.
Track and order office supplies, snacks and drinks as needed.
Serve as the point-of-contact for the IT consultant to manage and set-up workstations and troubleshoot IT issues.
Coordinate weekly team lunches and lunch-and-learn events.
Plan and execute firm-sponsored events and outings (celebrations, team-building, etc.)
Administration and Communications
Assist firm Principals and staff with scheduling and miscellaneous project- and business development-related tasks including event registrations and travel arrangements.
Manage the office calendar for client meetings, marketing events, and firm activities.
Maintain the firm’s Employee Manual and track employee benefits including, but not limited to, medical insurance renewals and enrollment.
Coordinate with the firm's insurance providers to obtain Certificates of Insurance as needed.
Work with the immigration consultant to facilitate and track visa and immigration application processes.
Coordinate with the Accounting Manager, including receiving and processing checks sent via mail, reviewing monthly deposits and invoices, and credit card expense reports.
Manage renewals of the company’s insurance, business licenses and certifications, and professional licenses and registrations.
Maintain standardized office forms.
Lead onboarding and offboarding procedures for new staff, interns and externs and help maintain relevant documentation and checklists.
Help facilitate key employee training (e.g. software implementation, new security protocols) and act as a training resource for new and existing staff.
Support annual employee performance review processes.
Facilitate recruitment including job postings, scheduling interviews and maintenance of a recruitment database.
Coordinate with outside vendors for services, supplies, and support.
Create and maintain contacts database for business development.
Marketing Support
Coordinate with the Communications team to post social media content.
Serve as the LinkedIn page administrator.
Track and analyze social media analytics and engagement.
Support the preparation of proposals including updating content.
Implement website updates.
Assist in maintaining the firm's graphic standards and brand identity guidelines.
QUALIFICATIONS
Bachelor’s degree.
More than 2 years of professional experience working as a studio coordinator or office manager. (Design industry or related field, a plus).
Ability to work in a dynamic environment across multiple teams and individuals acting as a hub for the studio with a flexible and team-oriented approach.
Strong organizational skills with keen attention to detail and ability to track and follow through on tasks to completion.
Proactive problem-solving with ability to anticipate needs before they arise.Resourcefulness in addressing challenges with limited direction.
Strong interpersonal skills and ability to build relationships across all organizational levels to foster a collaborative studio culture.
Demonstrated written and communication skills.
Prior experience with IT management and/or HR processes, a plus.
Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams, OneNote, etc.) and Adobe Creative Suite (Photoshop, Acrobat, InDesign).
