We are looking for a highly organized, detail-oriented, and strategic proposal professional to help Concorde identify, pursue, and win new opportunities through RFPs, grants, approved vendor lists, and public/private procurement channels.
Position Overview
Concorde Education is seeking an experienced
RFP & Proposal Coordinator
to lead the sourcing, tracking, drafting, coordination, and submission of RFP responses and related business development opportunities.
This is not a purely administrative role. The ideal candidate will be able to read complex procurement documents, understand strategic fit, coordinate pricing and compliance materials, manage internal deadlines, and produce polished, compelling proposal responses that reflect Concorde’s value proposition.
The successful candidate will have prior experience with RFP writing, government procurement, education contracts, school districts, and/or grant writing. This person must be capable of managing multiple deadlines at once while maintaining a high level of accuracy, professionalism, and follow-through.
Key Responsibilities
Opportunity Sourcing & Monitoring
Identify and track relevant RFPs, RFQs, grants, approved vendor lists, and subcontracting opportunities across school districts, charter school networks, government agencies, and community-based organizations.
Monitor procurement portals, district websites, state and local funding opportunities, grant databases, and vendor registration platforms.
Focus on opportunities related to after-school enrichment, tutoring, STEAM programming, esports, financial literacy, summer programming, ELOP / ASES in California, 21st Century Community Learning Centers, NYC DYCD / CBO subcontracting, school district vendor lists, and charter school networks.
Maintain an organized calendar of upcoming deadlines, pre-bid meetings, Q&A deadlines, submission dates, award notices, and renewal opportunities.
RFP Review & Strategy
Read and analyze RFPs, RFQs, grants, and vendor applications to determine eligibility, strategic fit, requirements, scoring criteria, submission format, and required attachments.
Prepare concise internal summaries of each opportunity, including scope of services, pricing requirements, compliance obligations, timeline, evaluation criteria, risks, and recommended next steps.
Help determine whether Concorde should pursue specific opportunities based on fit, feasibility, timeline, competition, and potential value.
Coordinate with internal leadership to develop proposal strategy, positioning, pricing approach, and response themes.
Proposal Drafting & Submission
Draft clear, persuasive, and compliant proposal responses that reflect Concorde’s mission, capabilities, staffing model, curriculum offerings, compliance systems, and operational infrastructure.
Customize proposal language for each opportunity rather than relying solely on generic templates.
Ensure responses directly address the RFP’s stated requirements, evaluation criteria, and desired outcomes.
Manage the full submission process, including formatting, required forms, portal uploads, physical submissions where applicable, and final quality control.
Submit proposals on time and in accordance with all instructions.
Internal Coordination
Work closely with Concorde’s operations, finance, academic, compliance, and leadership teams to collect necessary information for each submission.
Coordinate pricing inputs, staffing plans, program descriptions, curriculum materials, instructor qualifications, references, insurance documents, W-9s, resumes, organizational charts, compliance documents, and other required attachments.
Follow up internally to ensure all materials are received before deadlines.
Maintain strong communication with internal stakeholders so that proposal timelines and responsibilities are clear.
Proposal Library & Process Management
Build and maintain a reusable proposal content library, including company descriptions, program descriptions, staff bios, resumes, references, compliance narratives, curriculum summaries, insurance documents, pricing templates, and standard attachments.
Track submitted proposals, pending awards, rejections, follow-up items, vendor approvals, renewal dates, and next steps.
Create and improve internal systems for organizing RFP opportunities, documentation, deadlines, and outcomes.
Identify patterns in successful and unsuccessful submissions to improve Concorde’s win rate over time.
Qualifications Required Experience
Prior experience with RFP writing, proposal coordination, grant writing, government procurement, education contracts, or school district contracting.
Experience reviewing procurement documents and translating requirements into actionable internal work plans.
Strong writing, editing, proofreading, and document organization skills.
Experience managing deadline-driven projects with multiple internal stakeholders.
Familiarity with education, after-school programming, tutoring, enrichment, workforce development, youth programming, or school district procurement strongly preferred.
Ability to work independently in a remote environment with minimal supervision.
Preferred Experience
Experience with school district RFPs, charter school networks, government grants, CBO subcontracting, or education vendor applications.
Familiarity with California ELOP / ASES, 21st Century Community Learning Centers, NYC DYCD programs, or similar public education funding streams.
Experience coordinating pricing, compliance documents, insurance certificates, references, resumes, and organizational attachments.
Comfort using procurement portals, CRM systems, spreadsheets, shared drives, and project management tools.
Prior experience building proposal templates, content libraries, or internal RFP tracking systems.
