Overview
The Montgomery County Agricultural Fair is seeking a highly organized, energetic, and professional Seasonal Media Coordinator & Administrative Support Specialist to support media relations, event operations, publicity coordination, and front-office administration during Fair preparation and Fair Week activities. This is a seasonal position from approximately early June through the end of August. This role is ideal for someone who thrives in a fast-paced event environment, enjoys working with media and the public, and can effectively balance communications, logistics, and administrative responsibilities.
Responsibilities
Manage publicity appearances for local news talent, including but not limited to WJLA TV live broadcasts and in-studio appearances. This includes coordinating on-site locations with the Event and Sponsorship Coordinator and Media Relations Agent as needed.
Conduct/supervise live broadcasts before and during Fair Week with WJLA - News Channel 8 - ABC TV.
Work with the Event and Sponsorship Coordinator to manage and schedule local talent participants on the Pepco Community Stage.
Meet local talent on arrival, offer support as needed.
Communicate with media outlets regarding on-site appearances and complete tasks before and as needed prior to their appearance at the Fair.
Arrange with the Event and Sponsorship Coordinator for tickets.
Assign the correct entrance and parking with the Event and Sponsorship Coordinator.
Prepare media areas with needed tables, chairs, etc. the day before when possible.
Be on site when the media arrive, greet them, escort them to the assigned location, and troubleshoot needs (e.g., provide tables and chairs).
Organize talent and locations for any morning, day, or evening TV broadcasts.
Organize talent and locations for "Live View" spots beginning on opening Friday with on-air at 5am, 6am, 7am, 8am, 9am, 10am.
Organize Fair contract talent as needed for WJLA studio shots.
Contact, organize, and meet with 4-H members to provide media opportunities.
Organize the ABC7 promos for the current year.
Perform duties as television, radio, and media spokesman/interviews as needed/directed by the Executive Director.
Develop press releases and Fair-related information and distribute them to local TV, radio, and print outlets in both English and Spanish.
Support media personnel throughout their assigned appearance.
Coordinate details with vendors and promoters (monster trucks, demo derby, etc.) to ensure media is handled properly when they arrive.
Ensure security is aware of the media appearance and alert you when they arrive.
Check up on media during their assigned time.
Develop and communicate a daily list of publicity-related activities for the 8:30 am staff meeting or other appropriate time.
Update appropriate staff of changes to the daily promotional event schedule.
Meet unexpected media at the gate during Fair and assist with questions, guidance, and circulation as needed.
Provide media with the correct contacts and arrange interviews as needed.
Develop ticket packets with the Event and Sponsorship Coordinator for media; ensure distribution/receipt by appropriate individuals.
Coordinate and develop free advertising content for use in local papers including the Washington Post, HOCOMO.com and others.
Create Daily TV Ads/Signs at Ticketing in Canva.
Office Operations Assistant
Assist the Entry Office Coordinator and other staff members as needed.
Assemble vendor packages with the Event and Sponsorship Coordinator for Fair check-in.
Work with the Social Media Committee as needed.
Help with the VIP program and Senior Day.
Assist Event and Sponsorship Coordinator with vendors during check-in.
Square support with POS and other tasks as needed.
Set up the computer projector for use at 7:50 am on each of the 3 Saturday volunteer workdays before the fair.
Assist with handling and collecting registration cards.
Administrative Support
Support front office operations as receptionist or other roles as needed
Hand out and record membership passes
Print Life member ID’s
Order supplies and make purchases
Process transactions using a cash register and credit cards
