Proposal Coordinator, SSG

100% USA Remote

OVERVIEW:

The Proposal Coordinator supports the Security Screening Group (SSG) and is responsible for proposal development activities primarily in support of aviation security construction initiatives. This role reports directly to the Vice President of Aviation within SSG and works closely with the aviation team to develop and submit high-quality, timely, accurate, and fully compliant proposals for aviation security construction projects. While the primary focus is supporting aviation security construction efforts, the Proposal Coordinator will also provide proposal development support to other SSG teams as needed. Submission quality is treated as a non-negotiable standard across all requirements, including technical, management, pricing, formatting, and strict compliance with solicitation instructions

RESPONSIBILITIES:

Coordinate all SSG proposal development activities, including scheduling, document management, deadline tracking, and compliance with solicitation requirements

Serve as the primary liaison between SSG division leads and proposal contributors, ensuring timely task assignments and progress updates

Work with subject matter experts (SMEs) to translate technical information into clear, compliant proposal language tailored to government requirements

Support the proposal written documentation including creation and formatting of graphics, tables, and supporting documentation

Support proposal assembly and writing duties

Maintain and update SSG proposal pipelines and repositories using Microsoft Teams, SharePoint, Office 365, and applicable SSG systems

Assist in internal communications, meeting coordination, and scheduling related to SSG proposal activities

Maintain awareness of industry trends, SSG initiatives, and government procurement activity to support proposal strategy

QUALIFICATIONS:

Associate's or Bachelor's degree in Business Administration, Communications, Technical Writing, Engineering, or a related field

Minimum 3–5 years of experience in proposal coordination, administrative support, or technical writing, preferably within a government contracting or technical environment

Proficiency with Microsoft Teams, SharePoint, Office 365, and related collaboration tools

Ability to understand and communicate technical information related to equipment integration, logistics, and systems

Experience working with cross-functional teams on proposal content development

Strong organizational, written, and verbal communication skills

Ability to manage multiple deadlines and competing priorities

High attention to detail and commitment to quality

Required Skills/Attributes:

Experience supporting government and construction proposal development

Familiarity with government and construction contracting processes and solicitation requirements (RFPs, RFQs, SOWs)

Strong document management, scheduling, and coordination skills

Understanding technical documentation standards and proposal compliance requirements

SUPERVISORY RESPONSIBILITY:

This position does not include direct reports. However, the Proposal Coordinator may provide task-level support and coordination oversight to cross-functional contributors involved in proposal development

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this. This position primarily involves extended periods of seated work using a computer and other office equipment. Regular use of hands and fingers is required for operating a keyboard, mouse, and other tools. Occasional standing, walking, and reaching with hands and arms may be necessary. The ability to lift and carry files and documents weighing up to 10 pounds is required. The role demands the ability to focus on tasks for prolonged periods, necessitating close vision and the capacity to adjust focus. Work is conducted in a typical office environment with moderate noise levels and climate control. Occasional long-distance travel by plane and car may be required. Occasional travel may be required to attend SSG-related meetings, industry events, or proposal writing conferences or workshops.

Classification:

Exempt (overtime pay is not provided for this position)

Position Type/Expected Hours of Work:

Full-time position with a minimum of 80 hours worked in a two-week period. Core business hours are Monday through Friday, 9am to 4pm EST. Occasional nights and weekend work may be required
