A Proposal Coordinator is responsible for coordinating the development of proposals. The Coordinator ensures that all proposal materials are accurate, well‑organized, and submitted on time, and may assist in developing proposal templates, processes, and best practices to streamline proposal development efforts.
Essential Functions
Support proposal managers through coordinating the proposal development process.
Support the creation of RFIs/SSNs, task orders, IDIQ proposals, ROM requests, and other stand‑alone proposals ranging from $5M–$150M in value.
Ensure adherence to proposal development preparation guidelines, processes, methodologies, and associated business tools.
Analyze requirements and ensure proposals meet requirements by creating and maintaining compliance matrix documents.
Edit, standardize, proofread, or update material prepared by other writers; eliminate inconsistencies in format or voice, typos, and grammatical and spelling mistakes.
Build proposal outlines, create folder structures, maintain proposal log, trackers, and oversee creation of proposal templates.
Develop effective methods for presenting and organizing information within proposals, such as the use of tables and graphics.
Coordinate proposal layout and outlines with SMEs and technical writers.
Maintain records and files of work and revisions.
Organize and attend proposal kickoff, drumbeat, color review, and gate review meetings.
Assist with the production, reproduction, and binding/packaging of draft proposals, final proposals, and all hard/soft copies.
Organize material and complete writing assignments according to set standards regarding order, clarity, conciseness, style, and terminology.
Ensure proposals are delivered on time and in compliance with all RFP requirements.
Perform other duties as required.
Maintain regular and reliable attendance on a full time basis (or in accordance with posted schedule).

Qualifications and Competencies
Security Clearance – Ability to obtain/maintain a Secret DoD clearance; U.S. citizenship required.
Proficient in MS Word, SharePoint, and Excel.
Knowledge of other editing and publishing tools highly desired.
Skills with graphics software packages such as Adobe Creative Cloud.
Ability to work in high‑pressure, deadline‑driven environments where priorities change quickly.
Ability to learn and rapidly apply knowledge of the company's operations, core competencies, and corporate capabilities to develop strong proposals and marketing materials.
Excellent time‑management and organizational skills.
Proficient problem‑solving and resource integration abilities.
Ability to apply interpersonal skills in establishing and maintaining successful working relationships with corporate personnel, project managers, staff, and other business enterprises and partners.
Education / Certifications
Bachelor’s degree from an accredited college/university, preferably in English, law, philosophy, history, or a discipline that demonstrates strong writing and citing skills.
APMP certification or active enrollment a plus.
Experience
2+ years of proposal or other relevant experience.
Experience with Salesforce is a plus.
Demonstrated experience working with diverse teams solving challenges.
