The is a highly operational, detail-oriented role supporting the luxury buyer of premium watches with the day-to-day administrative functions. This position serves as a key go-between for the buyers in terms of liaising with vendors, the pricing team, receiving & operations team, and internal selling partners, ensuring accuracy, timeliness, and seamless product flow.

This role is ideal for someone who enjoys coordination, problem-solving, and managing details, while building a strong foundation in the luxury watch and fine jewelry market. A solid interest in luxury timepieces and jewelry is helpful but not required. A strong sense of verbal and written communication skills are critical.

Essential Duties and Responsibilities:

Serve as the primary administrative & operational support to the Luxury Watch Buyer

Coordinate high value product as it flows through the buying, receiving, pricing and allocations process internally

Own operational flows with external parties, product going off site

Central point of contact for product details between buyers, vendors, pricing, operations, planning, and logistics teams

Manage and maintain accurate records including purchase orders/receipts, returns, cost changes, and delivery updates

Track orders from confirmation through delivery, proactively flagging risks or discrepancies

Coordinate daily communication with luxury watch and jewelry vendors regarding pricing, product details, timelines, and documentation

Ensure accurate transmission of buy details, cost changes, and assortment updates between internal teams and vendors

Maintain organized records of vendor agreements, line sheets, confirmations, and pricing files

Support vendor onboarding and ensure compliance with internal operational requirements is agreed to and understood

Partner closely with Pricing and Operations teams to assist on retail pricing

Support receiving the setup and validation of item attributes including materials, country of origin, case size, movement type, and precious metal details

Review and audit product data for accuracy if needed for any company-wide tech updates or data migrations

Coordinate Product Knowledge trainings with the lead buyer and support documents

Assist with retail, digital & wholesale door allocation as needed

Prepare recaps after meetings, create and maintain buy assortment trackers, and weekly business reports

Work with analytical team to have overviews of departmental trend lines in terms of cost & margin fluctuation

Develop a working knowledge of the luxury watch and fine jewelry market

Demonstrate curiosity and willingness to learn technical and product-specific details over time

Qualifications

Bachelor’s degree in Business, Merchandising, Operations, or a related field preferred

1–3 years of experience in buying, merchandising, operations, or vendor coordination; luxury or premium product experience preferred

Highly organized with exceptional attention to detail

Ability to work in fast paced environment, open to working with vendors in different time zones

Strong follow-through and ability to manage multiple workstreams simultaneously

Comfortable acting as a liaison across several teams and external partners

Proficient in Excel and Microsoft Office; experience with PLM, ERP, or buying systems preferred

Clear, professional written and verbal communication skills

Operationally driven, solution-oriented, & a strong sense of ownership

Comfortable managing details

Moderate knowledge of luxury brands, luxury market trends is preferred
