As the Hotel Sales Coordinator, you play a vital role in the success of the Sales Team and the overall growth of the hotel. You are the organizational backbone-providing essential administrative support, managing key information, and ensuring seamless communication. Your efforts allow the Sales Team to focus on building client relationships, achieving revenue targets, and delivering exceptional guest experiences. Your attention to detail, coordination skills, and proactive support are critical to keeping the team efficient, focused, and results-driven.
Essential Functions and Responsibilities:
Provide timely and courteous guest service consistent with the company's guest service culture
Conserve the sales team's time by reading, researching, and routing correspondence; drafting letters and documents; maintaining merge documentation; collecting and analyzing information; and initiating telecommunications
Review and present items requiring signatures to the Director of Sales, including but not limited to sales contracts, departmental invoicing, and budget items
Complete weekly departmental forecast and production updates in a concise and timely manner
Assist Sales Managers and/or Director of Sales with client site inspections; conduct site inspections independently when needed
Retrieve, log, and distribute incoming sales leads from multiple sources
Mediate communication between accounting, internal sales managers, and outside vendors regarding commission payments
Quote room rates and terms, and make informed decisions regarding customer or hotel needs as directed
Review all hotel sales contracts for accuracy, ensuring all terms (deposits due, rooming lists due, etc.) are correct and properly reflected in Delphi
Input and maintain reminders in Delphi for coordinator and sales managers related to group follow-ups and actionable items
Maintain confidentiality to protect customer and company information
Maintain departmental procedures, recommend updates, and support SOP documentation and user training
Ensure compliance with all applicable gaming laws and company internal controls, policies and procedures, Title 31, and federal regulations, if they apply to the position
Provide outstanding guest service in a timely manner to both guests and fellow team members that meets the company's guest service culture standards
Perform other duties as assigned
Qualifications:
1 year of Sales experience in a hospitality environment preferred
Demonstrated commitment to providing excellent guest service
Ability to follow instructions and complete tasks accurately in a fast-paced environment
Strong communication skills and willingness to work as part of a team
Strong attention to detail and accuracy in a fast-paced environment
Committed to fostering a respectful, inclusive, and safety-conscious work environment
Ability to access and input information using a moderately complex computer system
Skilled in Microsoft Office Suite, including Outlook, Excel, and Word; familiarity with Delphi collaboration tools such as Microsoft Teams.
Requirements:
At least 21 years of age
High School Diploma or equivalent required; Bachelor's degree preferred
Ability to effectively communicate in English, both written and verbal
Obtain and maintain all work cards as required by the company
Verify right to work in the United States
Physical Requirements:
Occasionally push/pull up to 25lbs.
Occasionally lift and/or carry up to 20lbs. at floor, knee, waist, and chest levels
Regularly squat, kneel, reach, bend, twist
Frequently sit and work at a desk or computer
Occasionally standing and walking
Ability to communicate using in-person speech, radios, and telephone
Ability to hear, understand, and distinguish speech and/or other sound in person
Ability to distinguish between shades of color
Ability to use tools or equipment requiring a high degree of dexterity
