Job Overview:

The Executive & Marketing Administrative Assistant will provide high-level administrative support with a special focus on the Sales Department. This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate is passionate about sports, proficient in CRM, Microsoft Excel, PowerPoint, and Google Docs/Sheets, Social Media and comfortable managing calendars, meetings, and entry-level project coordination. This is an exciting opportunity for someone looking to grow their career in administration while gaining exposure to marketing operations.


Key Responsibilities:

  • Provide administrative support to the CDO and the sales team, ensuring seamless daily operations- 25% of workload.
  • Provide marketing support with a specific focus on B-B outreach- 50% of workload.
  • Overseeing all CRM tools used by the Team including HubSpot and TripleSeat- 25% of workload.
  • Manage and coordinate calendars, meetings, and travel arrangements.
  • Assist in entry-level project management, helping track deadlines, deliverables, and key initiatives.
  • Prepare reports, presentations, and spreadsheets using Microsoft Excel, PowerPoint, HubSpot, and Google Docs/Sheets.
  • Organize and maintain digital files, marketing/ sales assets, and other critical documents.
  • Handle general office tasks and assist in process improvement initiatives.


Qualifications and Skills:

  • A Marketing Degree is a requirement
  • Passion for sports and an understanding of the industry.
  • Strong organizational skills with attention to detail.
  • Proficiency in Microsoft Excel, PowerPoint, CRM, and Google Docs/Sheets.
  • Experience in calendar management and scheduling.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong verbal and written communication skills.
  • A proactive mindset with the ability to take initiative. Excellent communication and interpersonal skills, essential for collaborating with cross-functional teams.
  • Familiarity with either B-B or B-C marketing is a must.


Preferred Qualifications:

  • Marketing Degree
  • 3-5 years of project management, administrative or project coordination experience.
