Program Coordinator I – Rutgers Climate & Energy Institute
Position Summary:
Provide program coordination, administrative, and event support across RCEI initiatives, primarily managing the day‑to‑day administration of graduate programs such as the Graduate Certificate in Clean Energy and the Clean Energy Fellowship.
Responsibilities
Maintains collaborative relationships with the School of Graduate Studies and with graduate program administrators across Rutgers–New Brunswick, as well as with faculty, staff, and students involved in RCEI programs.
Creates and maintains databases of information on graduate students participating in RCEI programs and produces reports as needed to assess program effectiveness.
Provides logistical and administrative support to graduate students to ensure smooth progression through program requirements.
Serves as the lead coordinator for RCEI events and programs, including seminars, workshops, large‑scale symposia, and the student travel grant program, managing all aspects of planning and execution.
Develops and manages event timelines and task lists.
Coordinates venues, catering, and event logistics.
Manages registration and attendance tracking.
Supports marketing and communications.
Coordinates speaker travel and materials.
Oversees audiovisual and hybrid/virtual event setup.
Supervises event‑day logistics and support staff and manages post‑event activities.
Produces data and written reports to support RCEI programmatic and institutional goals, and contributes to RCEI communications, including website and social media content for the Clean Energy Fellowship/Certificate and other institute initiatives.
Helps maintain and expand relationships with industry, nonprofit, and government partners in support of RCEI programming.
Handles routine responsibilities as well as non‑routine duties as they arise in support of RCEI operations.
Qualifications
Minimum 2 years of relevant experience and a Bachelor’s degree or an equivalent combination of education and professional experience.
Prior experience in program coordination, event planning, project management, or administrative support in an academic or professional setting.
Demonstrated ability to work independently while managing multiple priorities and complex logistics with strong organizational and time‑management skills.
Excellent written and verbal communication skills.
Ability to communicate clearly, proactively, and professionally with a wide range of stakeholders.
Ability to identify when additional information is needed and seek guidance in a timely, effective manner.
Proven ability to coordinate and execute multi‑step projects or events with attention to detail, follow‑through, and problem‑solving skills.
Experience with database management, record‑keeping, and data tracking, and proficiency with standard office and collaboration tools (e.g., spreadsheets, document management systems, and virtual meeting platforms such as Zoom).
Preferred Qualifications
Familiarity with climate, energy, environmental, or sustainability‑related topics.
Standard office and computing equipment familiarity, including computers and printers, as well as software and platforms for document creation, data management, event registration, and virtual meetings (e.g., Excel, Qualtrics, Zoom, Constant Contact).
Physical Demands & Work Environment
Ability to lift 20 lbs.
Ability to work in a variety of outdoor environments.

Minimum Salary: $59,893.48 ; Mid‑Range Salary: $73,909.48 ; Maximum Salary: $87,925.48
