Marketing Operations Administrative Coordinator

Location: Los Angeles, CA 90094- Playa Vista ( Must live within 30 minutes commute of the office )

Pay Rate: $33–$38/hour + Medical Benefits

Duration: 6-Month Contract (Excellent potential for extension & permanent)

Schedule: Monday–Thursday Onsite (8:00 AM – 5:00 PM) | Friday Remote

About the Role
This is a unique opportunity for someone who is passionate about marketing, social media, branding, influencer marketing, and the toy industry and wants to grow their career within a leading global company.

This role is not a traditional Executive Assistant or Administrative Assistant position. While the first phase of the role focuses heavily on supporting the Executive of Marketing, the long‑term vision is to develop someone who is eager to learn the marketing side of the business and potentially grow into a marketing‑focused role over time.

We are looking for a true right‑hand partner. Someone who is highly organized, proactive, service‑oriented, and thrives in a fast‑paced environment. This person will help keep priorities moving, provide day‑to‑day support, coordinate logistics, and ensure nothing falls through the cracks.

What You'll Be Doing
Executive & Administrative Support

Manage and coordinate a busy executive calendar

Schedule meetings through Google Calendar, Google Meet, Zoom, Microsoft Teams, and other platforms

Book conference rooms and coordinate meeting logistics

Help keep the VP organized, focused, and prepared throughout the day

Track follow‑ups, action items, and important deadlines

Coordinate domestic travel arrangements

Assist with expense tracking and expense report preparation

Support lunches, dinners, reservations, and executive logistics as needed

Marketing & Team Support

Assist with marketing team coordination and project follow‑up

Help organize influencer mailers, product samples, and marketing materials

Support event preparation and marketing activations

Assist with marketing‑related administrative projects

Participate in team meetings and company initiatives

Learn marketing processes and gain exposure to various areas of the marketing organization

Required Qualifications

2–8 years of professional work experience as a personal assistant, Project/Event Coordinator, Workplace Coordinator for an Executive, CEO, VP of Marketing, or similar high‑level support

Experience being the go‑to person, right hand partner for an executive

Experience supporting a busy executive and being the gatekeeper

Must have worked in a role that handled urgency without getting overwhelmed, able to stay calm under pressure

Strong interest in marketing, social media, branding, influencer marketing, or consumer products

Experience scheduling meetings, booking conference rooms, and supporting travel arrangements

Experience using Google Calendar, Google Meet, Zoom, Microsoft Teams, and Microsoft Office

Experience using AI tools; ChatGPT or similar AI tools

Very familiar with TikTok, Instagram, LinkedIn, YouTube, and other social platforms

Comfortable running local errands approximately 1–2 times per week, assist with airport pickups, etc.

Willing to go above and beyond to support the team and executive needs in a fast‑paced environment

Understands that some situations may require additional support outside of standard working hours and approaches those moments with a team‑first mindset

Experience helping keep executive or similar high‑level support organized, focused, and prepared throughout the day

Not afraid to roll up their sleeves and help wherever needed

Must be hungry to learn and grow

Experience helping keep priorities moving, providing day‑to‑day support, coordinating logistics, and ensuring nothing falls through the cracks

Highly organized with strong attention to detail

Must be comfortable appearing on camera during internal meetings, team events, or company activities
