Job Summary
The Marketing & Communications Coordinator provides administrative, project, and communications support to the Marketing & Communications team. This role helps coordinate meetings, events, vendor activities, internal and external communications, branded assets, and departmental processes while ensuring projects and deliverables stay on track. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while collaborating effectively with cross-functional teams in a fast‑paced environment.
Key Responsibilities
Provide day‑to‑day administrative support to the Marketing & Communications team
Manage calendars, schedule meetings, coordinate workshops, and support event logistics
Prepare agendas, take notes, track action items, and follow up on deliverables
Assist with drafting, formatting, and distributing internal and external communications
Support vendor coordination
Manage branded assets, swag inventory, and support fulfillment requests
Identify process gaps and suggest improvements to workflows and tools
Collaborate directly with Finance and Accounting teams to process invoices, contracts, and purchase requests
May manage small projects independently
Required Qualifications
Strong ability to focus on details
Strong written and verbal communication skills; exceptional interpersonal traits
Proficient with Microsoft Suite (Word, Excel, and Outlook) system required
Must be able to work with and maintain confidential information
A team player who can multitask, work independently and prioritize efficiently
Ability to perform under difficult conditions, such as simultaneous deadlines all while maintaining a customer service attitude
Ability to work independently and be reliable with deadlines and such
Ability to compose articulate and grammatically correct written communication
Ability to work with cross‑functional teams across the US
Flexibility in work tasks and flow on the day to day
Preferred Qualifications
Prior internship or academic experience in marketing, communications, or a related field
Experience with Adobe Creative Suite, particularly InDesign; Photoshop or Illustrator is a plus
Familiarity with content scheduling platforms such as Hootsuite, Sprout, or Meta Business Suite
Experience with Canva, Instagram, Facebook, LinkedIn, ChatGPT, etc.
Experience supporting events, campaigns, or internal communications initiatives
Ability to quickly learn new tools, platforms, and processes in a fast‑paced environment
Physical Demands
Must be able to effectively communicate, (ie see, hear, speak and write clearly) in order to communicate with colleagues and/or customers; manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipment.
Working Conditions
The office is clean, orderly, properly lighted and ventilated. Noise levels are considered low to moderate.
