CBL Properties, one of the largest mall real‑estate investment trusts in the United States, is hiring a Local Leasing and Advertising Coordinator for East and West Towne Malls in Madison, WI. This role alleviates dealmakers of operational responsibilities so they can focus on revenue generation.
Responsibilities
Assist the Local Leasing and Advertising Manager with the implementation and coordination of the SLA program.
Coordinate tenant move‑in and move‑out activities, including placement and preparation of RMUs, communication with security and operations teams, and fixture placement.
Collect and route proposed inline store signage, RMU merchandise plans, and kiosk renderings for approval; ensure tenants use CBL‑approved signage.
Coordinate and attend new tenant/licensee meetings prior to opening, and work closely with the team to ensure presentations meet company/property standards.
Monitor and enforce common area visuals and operating requirements through daily walk‑throughs, tenant communication, and record‑keeping.
Collaborate with property team and Operations Services on A/R management and collections efforts.
Assist with implementation and enforcement of holiday décor directives.
Identify appropriate common area placement of proposed tenants, communicate available inventory, and mark space on lease plans.
Support event coordination, planning, and execution, including event set‑up and collaboration with contracted event companies.
Effectively coordinate and manage the back‑lit directory program, post updates and graphics, and keep programs populated.
Schedule and organize retailer meetings as directed.
Maintain and update tenant listings on in‑mall directories.
Coordinate with marketing to promote new specialty tenants on the center’s website and social media channels.
Resolve customer complaints related to specialty tenants and communicate issues to the appropriate property managers.
Manage RMU and inline keys and key logs.
Maintain inventory of RMU shelving, fixtures, tarps, and accessories.
Perform other duties as assigned to fulfill property objectives.
Screen and facilitate application processes for walk‑in and call‑in prospects and communicate opportunities to the assigned point of contact.
Prepare and send leasing packages and presentations to prospects or existing tenants.
Prepare and process license/advertising agreements and Exhibit A’s in leasing software, facilitate execution, and upload completed documents.
Compile and maintain tenant records, including certificates of insurance, business licenses, and gross sales reports.
Ensure tenants complete mandatory paperwork (e.g., emergency contacts, handbooks, new retailer portal forms).
Generate reports from Yardi/Ayuda and compile information on established schedules.
Complete inventory sheets for set‑up and tear‑down, and process damage deposits and reconciliations within the required timeframes.
Compile a lead generation list from digital/social media canvassing, mailers, and local advertising.
Assist in qualification, follow‑up, and tracking of leads from corporate inquiries or lead generation initiatives.
Assist in management of storage programs, including annual renewals and holiday storage leasing.
Assist in leasing special events such as job fairs, small business expos, and holiday markets.
Required Qualifications
Associate’s or Bachelor’s degree or equivalent combination of education and experience in sales; or a minimum of one year of related experience or training.
Strong teamwork and collaboration skills.
Excellent written and oral communication abilities.
Superior organizational and time‑management skills.
Proficiency with MS Word, Excel, and Outlook.
Flexibility in working hours.
