Position Summary
The Exhibit Services Associate will be responsible for all customer service-related items for exhibitors and sponsors of RE+ and regional events. Will also be responsible for various show floor operations items and any other administrative functions as needed. This role will also support the management of meeting room inventory, reservations, sales support as necessary, and client coordination to ensure a seamless experience for exhibiting and sponsoring companies utilizing meeting space.
Essential Functions/Major Responsibilities:

Customer Experience & Exhibitor Support
Lead theRE+sales team’s customer service efforts by supporting exhibitors with customer service inquiries, welcome letters, deadline reminders, forms collection, etc., ensuring excellent customer service, quality control, and consistency of exhibitor experience forRE+and regional events
Serve as the key resource for exhibitor questions related to Freeman exhibitor service kits for RE+ and regional events.
Assist with exhibitor registration questions, promo code creation and distribution.
Assist the Sr. Director of Sales with Exhibitor Experience program development including design, vendor recruitment & training, session shaping, and processing.
Meeting Rooms & Reservation Management
Oversee all aspects of meeting room reservations, including handling inquiries, confirming bookings, resolving conflicts, andmaintainingaccurate, up-to-date records within the reservation system.
Manage inventory of all meeting spaces, including affiliate roomsat various hotels, modular build-out rooms, and meeting rooms within the Las Vegas Convention Center (LVCC), ensuringaccuratetracking andoptimalutilization.
Serve as the primary point of contact for exhibitors and sponsorsutilizingmeeting space, ensuring clear communication anda high levelof customer service throughout the planning process.
Serve as the onsite point of contact for meeting room coordination, ensuring schedules run smoothly and resolving logistical issues as needed.
Produce rooming lists, generate usage andutilizationreports, and process meeting-related invoices ina timelyandaccuratemanner.
Identifyopportunities tooptimizemeeting roomutilizationand enhance the exhibitor and sponsor experience.
Act as the primary liaison between RE+ and Freeman for meeting room services and exhibitor support, managing the ordering process for AV, F&B, and room setup through Freeman materials and systems

Education / Experience / Attributes:
Bachelor’s degree or equivalent work experience
Excellent time management, organizational, and communication skills

Strong oral and written communications skills
Attention to detail
Minimum Qualifications:
Exceptional organizational skills and attention to detail, particularly in booking, scheduling, and managing multiple meeting requests.
Strong communication and customer service skills, with the ability to effectively support both external clients and internal stakeholders.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook), with the ability to manage schedules, reports, and data accurately.
Strong time management skills with the ability to handle multiple priorities simultaneously and meet tight deadlines in a fast-paced environment.
Interpersonal Contacts:
This position reports directly to theSr. Director ofSalesand will work closely withcolleagueson the sales, marketing, education,operationsand accounting teams.
Job Conditions:
RE+ is a virtual-first office. Physical officeoptionin Arlington, VA. Full time telework is our standard with intermittent in-person gatherings.
Some travel (15%) and non-traditional work hours (i.e., after hours, weekends, and holidays)required. Thistravelwill also includeevent execution and onsite support.
Must be able to lift and carry a minimum of 40 pounds and to physicallyparticipate in the movement, set-up, and storage of event-related items/materials.
