What’s unique about this role?
This role is part‑time, non‑exempt, averaging 30 hours per week and is required to be on‑site at Lighthouse's Bellevue office. The hours are roughly 10:00 AM PT – 3:30 PM PT Monday‑Friday. This role reports to the Senior Executive Assistant and is responsible for overseeing all administrative logistics related to the corporate office. The duties include managing front‑desk operations, processing deliveries, supporting facilities maintenance requests, handling expense approvals through Concur, and managing access control through key‑card programming. The role also provides general administrative support to ensure smooth office operations for other departments and collaborates with GRE, PAC, and other office managers from each of Lighthouse’s offices.
Responsibilities
Keep employees up to date on Lighthouse plans, policies and procedures via intranet and in‑office postings.
Maintain, communicate and ensure compliance of Office policies in partnership with Global Real Estate, Compliance and Legal departments.
Supervise the maintenance and alteration of office areas and layout, arrangement and housekeeping of office facilities; manage shipping and receiving for the office.
Liaise with building management on all building issues.
Negotiate the purchase of office food, supplies and equipment for the entire staff in accordance with company purchasing policies and budgetary restrictions.
Supervise the maintenance of office equipment, including copier, fax machines, etc.; be responsible for day‑to‑day facilities operations, including distributing building access keys, liaising with local IT resources, ensuring daily connectivity, resolving connectivity issues, acting as the office fire warden, etc.
Support expense management processes through Concur by monitoring employee expense report submissions, ensuring compliance with travel and expense policies, and coordinating with Finance on discrepancies or approvals; program and deactivate keycards.
Assist the Executive Assistant with coordinating office events including company meetings, morale events and trainings.
Welcome new employees to the organization by conducting local orientation including explanations of office policies and facilities.
Facilitate new employees’ participation in company‑wide orientation sessions.
Maintain employee anniversary and birthday database.
Perform office records management and reporting.
Serve as point of contact for contract employee processes.
Perform other duties as assigned.
Desired Qualifications
Associate’s Degree or equivalent combination of education and experience.
Strong verbal and written communication skills.
Self‑starter with proven experience working independently.
Experience working across multiple offices locally and across regions.
Advanced PC skills with high proficiency in MS Outlook and Office.
Excellent organizational skills with demonstrated ability to prioritize and manage multiple projects.
Ability to initiate work and function autonomously.
Ability to travel on a quarterly basis.
Previous experience in office management.
Strong business acumen and knowledge of business practices and processes.
Strong leadership and managerial skills.

Work Environment and Physical Demands
Duties are performed in a typical office environment while at a desk or computer table.
Duties require the ability to use a computer, communicate over the telephone, and read printed material in a quiet and professional setting.
Duties may require being on call periodically and working outside normal working hours (evenings and weekends).
