Major/Essential Functions

Manages daily administrative operations of clinical practice,including establishing work priorities; resolves problems relatedto the day-to-day operations of the unit. Participates as a teammember with the IM leadership team and works effectively with theleadership of the School of Medicine, UMC and other clinicstakeholders.

  • Effectively performs department administrative tasks including,but not limited to hiring, coaching, evaluating, and discipliningstaff as appropriate.
  • Clinical Operations: Manages and evaluates operation ofassigned clinics, including but not limited to: workingcollaboratively with our central access team to navigate patientaccess, patient satisfaction(including efficient operation of thetelephone system, patient registration, patient accounting,providing feedback to providers), and appropriate staffing.
  • Marketing/Outreach/Business Development: Continually evaluatesexisting services and identifies new program opportunities orenhancements. Conducts outreach/business development on behalf ofthe IM and CCVH and as available for targeted divisions within theIM Department.
  • Quality/Patient Safety: Quantifies clinic efficiency andeffectiveness through benchmarking and continuous qualityimprovement. Works and communicates to ensure the dissemination ofnecessary and useful information.
  • Financial: Ensures cost-effective, efficient operations;
  • Assists in developing and managing annual operating budget;works collaboratively with our central access team to provideoversight and direction of clinic registration, managed care andpoint of service collections and communicates regularly withdepartmental billing and coding to ensure optimal revenue cyclemanagement; Assures proper vendor selection and acquisition andpayment of supplies and services. Assist with the annual operatingbudget and work to reduce expenses and/or waste.
  • Communicates professionally and effectively with team, facultymembers, Division Chief, and/or Administrator regarding patient,staff, and physician issues, and clinic needs. Communicatespertinent information to staff during regularly scheduled meetings;leads and participates in required meetings. Support activities toincrease employee satisfaction/engagement.
  • Assists in developing effective strategic, business andmarketing plans, along with action steps and implementationdates.
  • Develops and manages any pertinent and necessary operatingpolicies and procedures for the assigned clinical area, withapproval from the Division Chief.
  • Prepares monthly clinic operation metric reports as directed byleadership. Provides report analysis for referral patterns,physician availability/capacity, appointment waiting periods,patient satisfaction, call center performance, quality metrics andappointment statistical data. - Provides leadership and directionfor strategic initiatives and KPIs.
