Job Title: Event Planner & Office Operations Assistant
Duration: 6-Month Contract
Location: Onsite Fairfield, NJ to start will turn to hybrid 3 days a week onsite
Travel: 50% travel in the US
Job Summary
We are seeking a highly organized, proactive, and detail-oriented Event Planner and Marketing Assistant to join our team for a 6-month contract. This role is crucial in supporting our marketing efforts, particularly in the planning and execution of regional trade shows and events. The ideal candidate will be a self-starter with excellent communication skills and the ability to thrive in a fast-paced environment. This position offers a fantastic opportunity to gain hands-on experience in a dynamic industry.
Key Responsibilities
Trade Show & Event Support
- Coordinate and execute regional trade shows and industry events, including booth logistics, material preparation, and on-site support.
- Manage marketing collateral inventory, ensuring timely delivery and return of materials.
- Coordinate equipment shipping and liaise with shipping companies and internal teams.
Travel & Logistics Management
- Book hotel accommodations and travel arrangements for a team of 30+ employees.
- Manage travel itineraries and communicate details to team members.
- Process expense reports related to travel and events.
Marketing Material Development & Distribution
- Assist in creating, editing, and proofreading brochures, presentations, case studies, and digital content.
- Coordinate with internal teams and vendors for production and printing.
- Maintain and organize marketing asset libraries.
Administrative Support
- Provide general administrative support including scheduling, calendar management, and file organization.
- Assist with budget tracking and invoice processing.
- Conduct research on industry trends and competitor activities.
Qualifications
- Currently enrolled in or recently graduated from a Bachelor's program in Marketing, Communications, Business Administration, or a related field.
- Experience in event coordination, administrative support, or marketing (internship or part-time) is a plus.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to manage multiple tasks and meet deadlines.
- Proactive, resourceful, and collaborative team player.
- Strong problem-solving skills and a positive attitude.
- Willingness to travel occasionally for events.
Compensation: $25-30/hr. Exact compensation may vary based on several factors, including skills, experience, and education. Benefit packages for this role will start on the 1st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.
