Salary Range : $92728.00 - $139093.00 Salary/year Description ABOUT LIFEMOVES LifeMoves is the largest and most effective provider of housing and services for neighbors experiencing homelessness in Silicon Valley since 1987. Our Mission is to end homelessness by Grants providing interim housing, supportive services, and building collaborative partnerships. With 40 programs, LifeMoves provides our neighbors experiencing homelessness with a temporary place to call home while offering intensive, customized case management through site-based programs and community outreach. Through our Theory of Change, we offer trauma-informed, data-driven, and client-centered services that empower individuals and families to regain stable housing and achieve long-term self-sufficiency. POSITION PURPOSE The Project Manager is a newly created, builder-focused role designed to bring structure, alignment, and momentum to a mission-driven, fast-paced nonprofit team. As the first person in this position, you’ll have the opportunity to architect and implement systems from the ground up—ensuring complex, cross-functional projects are delivered on time, on budget, and with high quality. Collaborating across departments—including marketing, development, programs, and finance—you will lead the coordination and execution of campaigns, events, communications strategies, and strategic initiatives. You will play a critical role in ensuring that marketing projects stay on track and meet all deadlines by facilitating feedback loops, managing key materials, overseeing project timelines, and supporting agency and stakeholder communication. ESSENTIAL JOB RESPONSIBILITIES Project Planning & Coordination Develop and manage project plans with clear goals, timelines, deliverables, and assigned roles.
Define project scopes and workflows to align cross-functional teams.
Ensure alignment between organizational priorities and project activities.
Proactively support the marketing team by managing bandwidth, deadlines, and shifting priorities.
Coordinate and maintain a central repository for project materials, assets, and deliverables.
Stakeholder Engagement & Communication Serve as the central point of contact between internal teams, third-party agencies, vendors, and funders.
Facilitate regular check-ins with internal stakeholders to ensure alignment on marketing and organizational priorities.
Collect, organize, and communicate stakeholder feedback to relevant teams to guide revisions and decision-making.
Collaborate closely with the Marketing Director and CMO to ensure messaging and deliverables are reviewed and approved on time.
Timeline & Budget Oversight Manage project timelines and milestones, anticipating potential roadblocks and adjusting as needed.
Track project budgets, ensuring expenditures align with organizational policies and grant requirements.
Support the marketing team in tracking campaign spend, invoicing from agencies, and reporting for leadership and funders.
Maintain visibility into marketing and campaign budgets to ensure resource allocation aligns with goals.
Cross-Team Collaboration Coordinate task assignments, workflow handoffs, and collaborative planning between departments, with a focus on integrated marketing efforts.
Work with development, programs, events, and communications teams to ensure marketing materials and assets meet shared needs and timelines.
Lead the implementation and adoption of project management tools (e.g., Asana, Trello, or similar) across the marketing team and adjacent teams.
Support interdepartmental meetings to clarify priorities, roles, and timelines.
Risk Management & Problem Solving Identify risks and potential delays early and develop mitigation plans.
Troubleshoot project-related issues proactively and escalate critical concerns appropriately.
Monitor dependencies across teams, vendors, and external partners to ensure seamless project execution.
Help resolve process bottlenecks and ensure clarity in decision-making chains.
Monitoring, Evaluation & Reporting Define and track KPIs for project success, especially for marketing initiatives and campaign effectiveness.
Collect impact data and project outcomes to support storytelling, donor updates, marketing performance reviews, and grant reports.
Collaborate with the marketing and development teams to analyze campaign effectiveness and drive strategic planning.
Process Improvement & Systems Building Continuously refine project management tools, templates, dashboards, and processes.
Build systems that support repeatable, scalable workflows for campaign and content production.
Capture lessons learned and share insights with leadership to drive a culture of continuous improvement.
Help onboard and train team members on new tools and processes, with a focus on marketing team workflows.
Qualifications QUALIFICATIONS 5-7+ years of experience in project management, operations, or nonprofit program coordination.
Demonstrated success managing complex projects across teams and timelines.
Proven ability to design and implement scalable processes and structured workflow for new initiatives.
Excellent organizational and time management skills.
Strong communication skills, with the ability to work with diverse internal and external
stakeholders. Comfort working with project management tools (Asana, Trello, Monday.com or similar).
Budget tracking and reporting experience preferred.
Familiarity with nonprofit environments and/or grant-funded projects is a plus.
Collaborative, flexible, and proactive mindset with a passion for mission-driven work.
