Overview
Weiss/Manfredi is a design firm at the forefront of architectural design practices that redefine the relationships between landscape, architecture, infrastructure, and art. We are seeking a Studio Coordinator and Personal Assistant to join our team in New York, NY. This role supports the day-to-day function of the studio and partners, ensuring smooth scheduling, communications, front-of-house coordination, and task execution under the direction of the Studio Director. The ideal candidate should have strong interpersonal and written skills, graphic presentation skills, organizational abilities, flexibility to manage multiple tasks, and an interest in supporting a collaborative firm environment. A bachelor’s degree is required. One year plus experience in an administrative role is required, and an interest in the operation of a design-driven architectural practice is preferred. Proficiency in Adobe Creative Suite (particularly InDesign and Photoshop), Microsoft Office and Excel is required.
Responsibilities
- Under Direction Of Studio Director, Duties Include
- Support day-to-day schedules for the partners
- Maintain partners’ digital calendars and coordinate with team members as needed
- Assist in preparation for meetings and presentations in coordination with the Studio Director and Business Development/Communications team, including organizing pin-ups and ensuring the office is organized and prepared
- Assist in drafting and editing presentations on behalf of partners using PowerPoint and InDesign; support partners in preparing for and executing virtual presentations
- Coordinate domestic and international travel with a travel agent and support scheduling flight, hotel, and car rental reservations, and prepare itineraries for partners and principals
- Write and edit business correspondence, prepare expense reports, and handle interoffice communications
- Assist Studio Director with office-related tasks
- Assist visitors and front desk, answer telephone calls and other inquiries
- Manage vendors for supplies, office equipment, and professional services
Qualifications
- Bachelor’s Degree
- Experience as Personal Assistant preferred
- Minimum 1 year experience in administrative role is required
- Interest in the operation of a design-driven architectural practice
- Affinity for graphic design
- Proficiency in Adobe Creative Suite, particularly InDesign and Photoshop, Microsoft Office and Excel
- Eye for detail and follow-through
- Excellent verbal and written interpersonal skills
- Adaptability, flexibility, and problem-solving skills
- Strong attention to detail and ability to multi-task and prioritize
