Job Description

Event Producer position at Saphire Event Group. This vacancy is located in East Bridgewater, MA, United States. Requires at least Bachelor Degree. Hospitality/Hotel industry experience is preferred.

Responsibilities

The Event Producer is responsible for guiding clients through the process of customizing their event to ensure both their vision and SEG policies are met. Responsibilities include consulting with clients on wedding themes and décor, menu planning, tastings, coordinating ceremony and reception, vendor coordination, and ensuring seamless execution on event day.

  • Conduct initial client meetings to welcome them, discuss event details (timelines, room setup, menu planning, vendor selection).
  • Collaborate with clients throughout planning to manage all event details.
  • Schedule client communications and reminders; address questions and concerns during planning and on the wedding day.
  • Coordinate with vendors (photographers, videographers, DJs, florists, etc.) on room setups and timelines.
  • Maintain positive relationships with clients, guests, and vendors.
  • Hold follow-up client meetings (menu meetings, three-week meetings, drop-offs, rehearsals).
  • Upsell food items and wedding services during meetings.
  • Proactively address problems or concerns for the couple or secondary contracted parties.
  • Manage contract payments according to payment schedule and final event payments.
  • On the day of the event, serve as on-site contact, oversee vendors and setups, and resolve last-minute issues.
  • Ensure communication with the Event Manager before leaving for the day.
  • Send follow-up emails to clients to encourage 5-star reviews.
  • Organize quarterly group tastings, including invitations, vendor/guest confirmations, and inventory management.
  • Attend BEO (Banquet Event Order) meetings and other necessary meetings to coordinate with all departments.
  • Oversee and mentor interns.
  • Collaborate with multiple departments to ensure client satisfaction.
  • Maintain knowledge of all products and services offered.
  • Work with Sales on client inquiries, including emailed or phone outreach, initial property tours, and client tours as needed.
  • Process incoming payments for both properties.
  • Assist in general office administration (filing, organization, answering phones, scheduling, reporting weekly statistics, meetings).
  • Learn and apply all SEG policies and procedures.
  • Be able to work extended shifts (10 hours or more) as business dictates; flexibility to work different shifts and weekends.

Supervisory Responsibilities

Has no direct supervisory responsibilities, except when assigned an intern; will mentor interns on event policies and procedures.

Education & Qualifications

  • Minimum of 1 year of experience as a wedding planner or producer, or internship in the industry (minimum 3 months).
  • Ability to handle high levels of stress and multi-task.
  • Previous hospitality industry experience preferred.
  • College degree in hospitality or management preferred.
  • Computer skills: Microsoft Word, Excel, Outlook.
  • Familiarity with Caterease and Social Tables is a plus.
  • Assertive with diplomacy of a good negotiator.
  • Organized, creative, and knowledgeable about various religious and cultural customs.

Job Type: Full-time

Pay: $45,000.00 - $60,000.00 per year
