Job Title Administrative Assistant, Library - Jackson County Campus Job Description

  1. Perform a wide variety of clerical and office duties, including correspondence, filing, data entry, scheduling, and recordkeeping.
  2. Manage calendars, schedule meetings, and prepare agendas and minutes for library staff meetings.
  3. Handle incoming telephone calls in a courteous and efficient manner.
  4. Track departmental projects, deadlines, and reports.
  5. Maintain confidentiality of records and sensitive information.
  6. Participate in professional development and staff training to improve job knowledge and performance.
  7. Help as needed at the library service desk; provide general information about library services, policies, and resources.
  8. Assist students, faculty, staff, and community users with routine inquiries and the use of library equipment.
  9. Support circulation functions, including check-in/out of materials, managing holds, overdue notices, and interlibrary loan requests.
  10. Monitor and maintain office and library supply inventory; order materials as needed.
  11. Assist with the annual inventory of library equipment and with the inventory of books and other materials.
  12. Process purchase requisitions, invoices, and expense reports in compliance with college procedures.
  13. Assist with budget tracking, financial reporting, and recordkeeping.
  14. Reconcile library accounts.
  15. Maintain procurement records and monthly procurement card agreement.
  16. Draft, edit, and distribute correspondence.
  17. Collaborate with various departments and other campuses as needed.
  18. Communicate with library patrons in regard to late returns of library books and laptops, and their appropriate fines/fees.
  19. Coordinate promotional materials, displays, and communications for library events, workshops, and programming.
  20. Maintain personnel records, timesheets, and leave reports for library staff.
  21. Assist in collecting and compiling usage statistics and reports for institutional planning and accreditation.
  22. Keep accurate records of library subscriptions, licenses, and vendor contracts.
  23. Provide administrative and logistical support for library instruction sessions, workshops, and events.
  24. Coordinate room reservations, event setup, technology needs, and communications.
  25. Support outreach activities that promote student engagement, library services, and information literacy.
  26. All other duties as assigned.
Job Duties The Library Administrative Assistant provides high-level clerical, organizational, and customer service support. This position assists with daily operations, manages administrative tasks, and supports library programs, budgets, and communications to ensure the smooth and efficient delivery of library services to students, faculty, staff, and the community. Mandatory Qualifications
  • M1) Associate's degree in Business Office Technology or a related field from an institutionally accredited college or university.
  • M2) Minimum of two years of clerical, administrative, or office support experience (library experience preferred).
  • M3) Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint) and familiarity with databases or information systems.
  • M4) Excellent written and verbal communication skills.
  • M5) Ability to handle multiple tasks, prioritize effectively, and meet deadlines.
  • M6) Strong attention to detail, accuracy, and organizational skills.
  • M7) Demonstrated ability to maintain confidentiality and provide professional customer service to a diverse population.
Desirable Qualifications
  • D1) Bachelor's degree in library science or another related field.
  • D2) Experience in an academic, public, or school library environment.
  • D3) Familiarity with integrated library systems (ILS), cataloging, or circulation software.
  • D4) Knowledge of basic accounting principles and budget tracking.
  • D5) Prior experience using Banner, Asset Panda, Webex, Canvas, and/or Atrium Booksystems.
  • D6) Experience with WEPA print kiosks.
