The Events Coordinator & Marketing Assistant at IVitamin is a full-time, dual role for an Austin-based creator eager to broaden experience and grow their portfolio. The position plans, coordinates, and executes events, develops business for events and corporate wellness, and supports marketing creation and social media management.

EVENTS Coordination & Execution

Manage internal documentation and processes for booked events and regularly communicate pertinent information to leadership and the team through email and weekly meetings.

Coordinate logistics and needed supplies for each event.

Serve as on-site lead for set-up, client service, and breakdown; support client coordinator for client management and payment processing as needed.

Complete financial results and post‑event breakdown and share with leadership in a timely manner.

Marketing & Business Development

Work closely with the Marketing Manager to ensure the appropriate marketing materials are present at each event.

Take pictures and videos at each attended event to share with the Marketing Manager.

Deliver marketing materials to potential new corporate wellness and event partners.

Act as main point of contact for existing event and corporate wellness partners.

Actively search out new event and corporate wellness partners to grow this segment, focusing on large revenue‑generating opportunities.

Maintain CRM details and stage gate for events and corporate wellness pipelines.

MARKETING Original Content & Social Media Management

Create on‑brand content: reels/shorts, carousels, static posts, stories.

Schedule/posts across IG, FB, LinkedIn, TikTok, and YouTube Shorts maintaining consistent brand voice, look, and compliance.

Perform video editing for social media (cuts, captions, hooks, thumbnails).

Community management including follower engagement and DMs.

Occasionally shoot short‑form video, photos, and quick interviews and capture day‑of content in‑clinic and at events.

Research & Planning

Research topics, trends, and angles for wellness/peptide/IV content.

Update keywords & hashtags; propose collabs/UGC/influencer ideas.

Maintain an up‑to‑date content calendar for review/approvals.

Qualifications

1–2 years’ experience in event planning, coordination or hospitality.

1–2 years’ marketing experience and/or degree in Marketing.

Skilled with Canva, CapCut/Adobe (Premiere/Rush), and social scheduling tools; up to speed on platform trends, hooks, and best practices.

Knowledgeable of Google Suite and CRM tools (GoHighLevel preferred).

Strong organization skills and deadline‑driven; able to manage multiple tasks and logistics and pivot quickly when plans change.

An outgoing, team player eager to grow, thrives in a fast‑paced environment, communicates clearly, and is proactive with ideas.

Willing and able to work evenings and weekends; comfortable popping into clinics and events.

Bonus: Experience working with wellness/health/beauty brands.
