Position Overview The Brokerage Services Coordinator plays a critical role in supporting our sales professionals across customer service, marketing, and transactional functions while managing multiple complex projects and competing deadlines. This position requires exceptional organizational skills, strategic thinking, and the ability to thrive in a dynamic, fast-paced commercial real estate environment. The ideal candidate will demonstrate strong leadership capabilities, advanced technical proficiency, and possess either an active real estate license or be actively pursuing licensure. Grand Rapids, MI Schedule:

Monday – Friday, 8:00 AM – 5:00 PM EST (Hybrid: 4 days in office, 1 day remote) Reports to:

Manager, Brokerage Operations & Support

Key Responsibilities

Customer Service Excellence: Coordinate and maintain on-site coverage schedules to ensure comprehensive support for the brokerage team; manage the brokerage pipeline in Dealius, conducting regular strategic reviews with the brokerage team to optimize opportunities and ensure data integrity; deliver exceptional customer service to brokers by proactively addressing complex inquiries and resolving escalated issues.

Marketing & Brand Management: Develop, execute, and analyze customized email marketing campaigns while maintaining contact databases across Buildout and other third-party systems; create marketing materials including flyers, brochures, offering memorandums, and opinions of value using Buildout and/or Adobe Creative Cloud; lead collaboration with marketing and brokerage teams to develop marketing strategies for diverse property types; serve as primary liaison with marketing and research teams; manage property distribution and advertising across company website and industry platforms; partner with Market Research to conduct demographic analysis and create specialized mapping solutions for listings; lead preparation of customized proposals, presentations, and communication materials; coordinate site tour logistics with detailed materials; develop and execute social media content strategies for listings, major transactions, and company events.

Transaction Management: Compile and review listing agreements for new properties; generate listing and deal activity reports; execute the complete Closed Deal process per SOPs; draft amendments and coordinate signatures; manage document workflows through DocuSign; monitor accounts receivable and coordinate collection strategies; update property and listing information across databases; input and analyze comparable data from in-house transactions to support market analysis.

Administrative & Strategic Support: Maintain organized file management systems; participate in team and department meetings; support internal engagement activities and coordinate events for external partners; assist in training opportunities for Brokerage Services Assistants.

Qualifications

Education & Experience: High school diploma or equivalent required; Associate's or bachelor's degree preferred; active real estate license or actively pursuing licensure strongly preferred; 1-2 years of experience in administrative, marketing, or client support roles with direct real estate industry experience strongly preferred; proven experience in corporate environments providing internal customer service, marketing content creation, campaign coordination, or real estate research.

Skills & Competencies: Exceptional interpersonal skills; strong attention to detail with project management capabilities; superior verbal and written communication; advanced proficiency in Microsoft Office Suite; experience with Adobe Creative Cloud and InDesign preferred; ability to manage multiple priorities; strategic thinking; ability to work independently and collaboratively.
