Executive Assistant Marketing Coordinator
Camflo Heating & Cooling, a leading $8M+ family-owned HVAC company, is seeking a part-time Marketing & Executive Assistant to help manage the Owner’s day-to-day organization and marketing coordination. This role is ideal for a detail-oriented, tech-savvy individual who thrives on keeping schedules, emails, and marketing tasks running smoothly. Position Overview The successful candidate will play a critical support role behind the scenes ensuring the Owner stays focused while helping push forward marketing campaigns, social media, and customer communication. Key Responsibilities Manage the Owner’s calendar, schedule appointments, and coordinate meetings. Monitor and organize the Owner’s email inbox; draft and send professional responses when appropriate. Track follow-ups and reminders so nothing falls through the cracks. Marketing Coordination Assist with coordinating marketing campaigns (mailers, Dove Club promotions, seasonal specials). Post and manage updates on social media channels (Facebook, Instagram, LinkedIn). Collect customer reviews and testimonials, help craft responses, and track engagement. Work with external marketing partners/agencies (KickCharge, iMarket, and other vendors) to keep projects on track. Administrative Support Organize digital files, reports, and project trackers. Prepare simple presentations, letters, or flyers for internal and customer use. Assist with CRM tools (ServiceTitan, Chiirp) to pull lists or track campaigns. Qualifications Strong organizational and communication skills. Proficiency in Google Workspace or Microsoft Office. Familiarity with social media posting and basic marketing tools (Canva, MailChimp, etc.). Ability to manage multiple priorities independently. Positive attitude and willingness to learn HVAC industry basics. Bonus points for experience with ServiceTitan, Chiirp, Canva, or Power BI — but not required.
