Responsibilities

Proposal/Presentation Development and Management: support business development with pursuit plans and client outreach marketing collateral ahead of RFP release; lead SOQs/proposals, manage the proposal planning process, establish content assignments, internal deadlines, and lead times; gather content from pursuits team, internal resources, and consultants; provide page layout, produce SOQs/proposals for digital and print reproduction, including editing and graphics; develop presentations and organize rehearsals in collaboration with the business development team.

Content Creation and Editing: generate client-specific content for proposals and presentations, including writing/editing text, design layout, custom graphics, tailoring resumes, and integrating schedules with input from the marketing director, business developer, project director, and technical team; conduct interviews with project team members to identify challenges and solutions; write and edit project approaches and logistics plans; ensure all written content aligns with the company brand voice and proposal guidelines.

Compliance and Documentation: identify and monitor SOQ/proposal criteria, ensure full compliance; handle production logistics and timely delivery of SOQs/proposals; implement brand standards consistently across all marketing materials.

Information Management: maintain systems for extracting, categorizing, and retrieving information related to clients, consultants, personnel, projects, prior proposals, boilerplate, and visuals; ensure adherence to marketing archive procedures and electronic file structure, access, and backup procedures; support the firm’s online presence (social media and websites) and create/schedule content.

Public Relations and Communications: draft press releases under the direction of the Marketing & Communications Director; support public relations efforts under the direction of the Marketing & Communications Director.

Awards and Events Coordination: prepare and coordinate awards competition entries; organize special firm events; interview the technical team and develop winning content for awards submissions.

Photography Coordination: coordinate project and promotional photography; ensure compliance with copyright laws and photographer usage rights; perform other duties as assigned.

Qualifications

Minimum Qualifications: Associate or bachelor’s degree recommended; 8+ years of relevant A/E/C experience required; recommended: attend SMPS and other industry workshops; familiar with SMPS Six Domains of Professional Services Marketing.

Job Skills & Abilities: understanding of basic business development principles; ability to interview technical team members, write/edit technical content and communications; ability to contribute to proposal strategy; knowledge of database concepts; strong organizational and multitasking skills; attention to detail; ability to work with diverse personalities; excellent time management; basic understanding of go/no-go processes; proficiency in Adobe Creative Cloud (InDesign, Illustrator, Photoshop) and Microsoft Office (Excel, Word, PowerPoint); understanding of SOQ/proposal production (digital and printing/binding); passion for professional development and community-focused activities.

Working Conditions

Ability to stand, bend, sit for long periods; occasional lifting up to 25 lbs; occasional travel required (primarily metropolitan area, sometimes domestically); valid Driver’s License required.
