Assistant Community Manager
The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. The role involves delinquency and rent collection to optimize the property’s cash flow, managing all operational phases including personnel, leasing, maintenance, financial, administrative, and risk management in the absence of the Community Manager, and supervising staff to ensure compliance with company policies, safety, fair housing guidelines, and liability concerns.
Essential Duties & Responsibilities
Financial Management
- Post all payments and income received from all applicants, current residents, and non‑current residents accurately, timely, and efficiently.
- Process and reconcile daily account receivables.
- Monitor and follow up on bad debt, including preparation of late notices, resident and guarantor contact, and filing evictions.
- Post all charges to resident and non‑current resident accounts, including bill back of utilities where applicable.
- Handle all end‑of‑the‑month closing procedures and reporting.
- Maintain accurate and organized records; audit resident files to ensure accurate records.
- Walk units and post all move‑out charges, statements, and security deposit refunds.
Personnel Management
- Regular daily onsite attendance is required.
- Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
- Ensure staff effectiveness through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
- Promote harmony and quality job performance of staff through support and effective leadership.
- Ensure staff compliance and consistency with company policies and procedures.
- Implement strategic leasing management, ensuring effective leasing techniques and documentation.
- Execute marketing strategies and systems established by the annual marketing plan.
- Deal with resident complaints, concerns, and requests to ensure resident satisfaction.
- Develop and implement resident retention programs (e.g., resident functions, special promotions, monthly newsletter).
- Effectively show, lease, and move in prospective residents.
Administrative Management
- Manage excellent customer service and monitor service request turnaround and responsiveness of maintenance staff.
- Maintain property appearance and ensure repairs are noted and completed on a timely basis (requires regular property inspections and tours).
- Assist with supervision of all business functions related to operations.
- Plan for and utilize property resources, equipment, and supplies economically, including obtaining bids and pricing from vendors and contractors.
Education / Experience
- High School Diploma or Equivalent; Bachelor’s degree preferred or two years experience in the housing industry; or one to two years related experience and/or training; or an equivalent combination of education and experience.
- Ability to understand and perform all onsite software functions; basic computer skills required.
- Must have basic knowledge of Fair Housing Laws and OSHA requirements.
Physical Requirements
- Regular standing or sitting for prolonged periods, communicating with others, repetitive hand and wrist motions; assessing accuracy, neatness, and thoroughness of work.
- Frequent movement between worksites.
- Occasional ascent/descent of ladders, stairs, scaffolding, ramps, step stools; ability to work in confined or overhead spaces, lift and move objects up to 25 lbs, use machinery, and handle hazardous materials; willingness to work overtime, weekends, and nights.
Compensation and Benefits
Salary Range: $20 per hour to $25 per hour.
