From our studios in Dallas, Birmingham (UK), and Melbourne (Australia), we collaborate with some of the world’s most recognized brands to design spaces that inspire connection and deliver commercial success. We’re expanding our Dallas team and looking for a talented Office Manager / Administrator to help drive our Dallas studio forward and be part of our next chapter of growth.
EXECUTIVE ASSISTANT TO THE CEO – ROLE OVERVIEW
Manage the CEO’s global calendar and priorities
– ensuring seamless coordination between studios, clients, and leadership commitments.
Communication Management
– Act as the CEO’s communication gatekeeper, drafting, filtering, and following up on key correspondence with clarity and brand tone.
Meeting & Documentation Support
– Prepare agendas, document minutes from management meetings or client briefs, and action summaries to ensure meetings are focused, outcomes are captured, and follow‑ups are completed.
Travel & Logistics
– Plan and manage complex international travel, ensuring every trip runs smoothly with detailed itineraries and expense management.
Strategic & Operational Support
– Support tracking of strategic goals, client priorities, and business performance, providing research and insight to inform decisions.
Relationship & Stakeholder Management
– Maintain the CEO’s network of clients, partners, and industry contacts through proactive, thoughtful engagement.
Internal Culture & Team Support
– Coordinate internal communication and initiatives that reflect The Harrison Way, fostering collaboration and cultural alignment.
Confidential & Personal Support
– Handle sensitive information and personal logistics discreetly to protect focus and trust.
Continuous Improvement
– Anticipate needs, streamline processes, and implement efficiencies that enhance CEO productivity and organizational alignment.
FRONT DESK & OFFICE COORDINATION – SUMMARY OF RESPONSIBILITIES
Serve as the welcoming face of Harrison
– creating a positive first impression for clients, visitors, and partners.
Manage daily front‑of‑house operations
– including greeting guests, answering calls, handling mail and deliveries, and maintaining a professional reception area.
Support the design team
– with sample library coordination, CEU sessions, and vendor visits to ensure materials, meetings, and studio spaces run smoothly.
Uphold the culture, appearance and atmosphere
– of the Dallas studio, reflecting Harrison’s values of creativity, collaboration, and hospitality in every interaction.
GENERAL – SUMMARY OF RESPONSIBILITIES
Ensure smooth, professional, and efficient daily operation
– of Harrison’s Dallas studio.
Oversee both creative and operational functions
– including office administration, facilities management, IT coordination, and internal communications.
Manage office supplies, vendor relationships, and workspace enhancements
– to maintain an inspiring and efficient studio environment.
Support onboarding and technical setup
– for new team members, ensuring seamless integration into the business.
Coordinate travel, meetings, conferences and company social events
– to support leadership and team engagement.
Maintain licensing renewals and compliance
– across multiple states in coordination with leadership and external partners.
Liaise with business development and marketing teams
– to assist with conference planning, logistics, and administrative coordination.
Provide HR support
– including recruitment coordination, interview scheduling, onboarding, and maintenance of employee policies and guidelines.
Administer employee benefits
– including managing health insurance and 401(k) plans, and coordinating any necessary updates or renewals.
Act as a trusted liaison
– between leadership, design teams, and external partners to ensure strong communication and operational alignment.
Foster a collaborative, well‑organized, and positive workplace culture
– that reflects Harrison’s values and The Harrison Way.
Adapt to a dynamic, hands‑on environment – confidently
juggling multiple priorities, projects, and tasks with professionalism and attention to detail.
ACCOUNTANCY & FINANCIAL SUPPORT – SUMMARY OF RESPONSIBILITIES
Support the financial administration
– of the studio through both accounts receivable and payable processes.
Coordinate closely with the CEO
– and internal accountants, to ensure accurate and timely invoices and payments and recharges.
Prepare and issue client project invoices
– recharges and reimbursable recharge invoices using established templates and client accounting portals.
Reconcile invoice amounts
– against contracts and timesheets, maintaining accurate financial records and organized invoice logs.
Review consultant and vendor invoices
– prepare payments, manage remittance documentation, and record all transactions for transparency and accuracy.
Monitor budgets and office expenses
– and assist with month‑end financial reporting.
Support annual renewals
– licensing, and compliance requirements as needed.
Maintain professionalism, confidentiality, and attention to detail
– across all financial processes to ensure smooth and accurate business operations.
REQUIREMENTS
Professional degree preferred; prior experience in architecture, engineering, interior design, or business is desirable but not essential.
Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and general internet applications.
Excellent interpersonal, organizational, and communication skills.
Must hold valid work authorization or visa to work in the United States.
Collaborative team player with strong problem‑solving abilities and confidence in communicating with clients, consultants, jurisdictions and colleagues.
Demonstrates integrity, reliability, and professionalism, with a kind and thoughtful approach to others.
Able to work effectively under pressure, managing and prioritizing multiple projects and deadlines with accuracy and composure.
