A successful entertainment management company that was founded 12 years ago is looking for an Executive Assistant to support the Founder. The company is forward-thinking, artist‑first management company representing a genre-spanning roster of globally touring talent. We are deeply embedded in live music, culture, and creativity — and committed to long‑term careers for artists who are shaping the future of music. Experience working in a creative industry a big plus. The office has a 15 employees and a casual vibe. Dogs come to the office and the dress code is casual with a small team culture that values collaboration, creativity, and trust. The office is located in the heart of Denver’s RiNo Arts District. It’s a casual, dog‑friendly workspace. This is a full‑time, in‑office position with some flexibility when the CEO is traveling.
About the Job:
Manage an ever‑evolving calendar — including high volumes of meetings, travel, and time zone juggling. Act as a strategic gatekeeper – protect the CEO’s time by managing scheduling priorities, minimizing unnecessary meetings, and ensuring day‑to‑day alignment with key objectives. Provide inbox triage and management, ensuring the CEO’s email remains organized, action items are flagged, and timely, professional communication is maintained. Schedule internal and external calls, artist meetings, and industry appointments. Keep the CEO prepared with agendas, call sheets, background materials, and timely briefings. Track follow‑ups, deadlines, and open items with a proactive, solutions‑first mindset. Oversee the Office Manager, ensuring day‑to‑day operations of the Denver office run smoothly (supplies, shipping, vendors, workspace upkeep, etc.). Serve as a touchpoint for the internal team – ensuring the office reflects the tone and values of the company and its artists. Support planning for quarterly happy hours, client gifting and holiday events in partnership with the office manager. Book and manage detailed domestic and international travel — flights, lodging, cars, restaurant reservations, and itineraries. Prepare comprehensive travel briefs and act as point‑of‑contact for any travel‑related adjustments. Maintain awareness of artist and team travel schedules to ensure alignment with meetings, communications, and key priorities. Be the CEO’s proxy when needed: communicating clearly and thoughtfully with artists, managers, agents, publicists, promoters, and partners. Review and edit decks, email comms, press materials, and proposals — an eye for clear writing, accurate details, and strong visual presentation is key. Provide project management support on special initiatives driven by the CEO, ensuring timely execution and cross‑functional coordination as needed.
About You:
5+ years of experience as an Executive Assistant or in a high‑level coordination role in the music, entertainment, or creative industries. Prior experience directly supporting an artist manager, touring artist, agency executive, or talent‑facing executive or a creative marketing background a plus. Highly emotionally intelligent – able to work autonomously while representing the CEO, company, and artists with professionalism and discretion. Intuitive and trustworthy — able to manage sensitive information and anticipate needs before they arise. Service‑oriented with a hospitality mindset — no task is too small if it supports the greater mission. Demonstrates strong creative judgment and a sharp eye for both visual and written communication. Understand how aesthetics, clarity, and tone influence perception and brand credibility. Comfortable in a fluid, fast‑paced, artist‑driven environment that demands polish, empathy, and quick thinking. Tech‑savvy with fluency in Google Workspace, Slack and Apple OS. Comfortable around dogs and in a casual office culture.
