Job Summary This role is the first point of contact for guests, vendors, and callers. It supports daily front desk operations while assisting the marketing and catering teams and helps with cash audit reporting. The person in this role ensures smooth, organized, and efficient operations across several departments in our restaurant company.
Key Responsibilities
Greet visitors, vendors, and guests in a warm, friendly, professional manner.
Answer and route phone calls, respond to emails, and general questions.
Maintain a clean, organized, and welcoming reception area; manage front desk supplies.
Manage daily mail, faxes, and deliveries; sort and distribute appropriately.
Maintain office filing systems (electronic and physical), calendars, appointment schedules, conference room bookings.
Assist with marketing activities such as coordinating promotions and assembling marketing materials (flyers, brochures, etc.).
Help manage marketing inventory (materials, signage) and replenish/organize as needed.
Gather metrics/data for marketing performance reporting.
Communicate with guests to understand catering needs: menus, event dates/times, guest count, special requests.
Communicate with catering staff, and restaurant management to ensure timely execution of catered events.
Assist with creating and distributing catering reports and comments.
Prepare and reconcile reports of daily revenues, deposits, and other financial data.
Assist with monthly or periodic cash audits: ensure records are accurate, identify discrepancies, help resolve them.
Follow internal controls and cash handling policies to maintain financial integrity.
Qualifications
High School diploma required; Associate’s degree in business, hospitality, marketing, or related field preferred.
Previous experience (1‑3 years) in a front desk, administrative, or customer service role; experience in hospitality, marketing, or event/catering coordination is a plus.
Strong organizational skills; ability to multitask and prioritize.
Excellent verbal and written communication skills; professional demeanor.
Attention to detail, especially in financial tasks.
Basic proficiency with Microsoft Office (Word, Excel, etc.).
Trustworthy, reliable, and able to maintain confidentiality.
Working Conditions
Office environment, frequent interaction with clients and vendors.
Some event‑based work: may require being on‑site for catering events (set up, coordination, breakdown).
Handling of cash and financial documentation with regular deadlines and reconciliation tasks.
Physical Requirements ·Ability to stand and walk for extended periods of time. ·Frequent bending, stooping, reaching, etc. to restock office items. ·Lifting, carrying, pushing, or pulling light to moderate loads (e.g. boxes, equipment). ·Ability to work in variable environmental conditions (outdoor events, restaurant visits). ·Ability to travel to different restaurants as needed for support to marketing, catering, or cash auditing support.
