Hours : 9:00 am to 5:00 pm

Reports to : Digital Marketing Manager

Role Summary We are searching for an analytical yet creatively minded

Email Marketing Specialist

who treats every send as an experiment and every journey as an opportunity to build lasting relationships.

This is a newly created position.

You will have the latitude to shape the role’s processes, best practices and success metrics, so an independent, builder’s mentality is essential.

You will design, build, and optimize acquisition and retention programs in HubSpot, Salesforce and Mailchimp, using data to drive segmentation, targeting and continuous improvement throughout the client journey. The role sits at the intersection of business development and client success, advancing prospects through the funnel while owning key retention and upsell touch‑points in partnership with Marketing, the new BDR and Sales teams.

You will collaborate closely with the Digital, Brand, Content, and BDR teams, ensuring every campaign is data‑driven, engaging and aligned with Cogency’s FY25-27 growth priorities.

Key Responsibilities Campaign Execution & Optimization

Build, QA and deploy email campaigns and automated nurture or retention journeys in HubSpot (integrated with Salesforce, On24, and iCapture).

Translate prospecting, nurturing and retention roadmap into sequenced, persona‑based journeys.

Partner with AEs and BDRs early to refine messaging, offers and timing for key accounts.

Create programs for acquisition (prospecting and lead‑nurture campaigns), retention & expansion, corporate communications, and more.

Run A/B and multivariate tests (subject lines, CTAs, cadence, content blocks); document

Hypothesis → Result → Decision

and roll winners into templates or journeys.

Maintain campaign governance: consistent naming conventions, UTM standards, pre‑flight checklists, suppression rules, and formal “Project Names” so cross‑functional teams can track progress.

Technical Excellence

HTML/CSS:

hand‑code responsive, accessible templates; build drag‑and‑drop modules for scale.

Segmentation & Targeting:

use HubSpot properties, lifecycle stages, and engagement signals (opens and clicks, On24 attendance, form fills) to target by ICP, stage, and behavior.

List Health & Deliverability:

Reduce bounces and unsubscribes via sunset policies, re‑engagement streams, frequency capping, and preference‑center routing; enforce suppression lists and opt‑out compliance.

Workflows & Journeys:

Architect multi‑branch HubSpot workflows with enrollment caps, exit conditions, and error notifications to protect client experience.

Data Integrity:

Troubleshoot field mapping, deduplication, and sync issues between HubSpot, Salesforce and other MarTech platforms; ensure lifecycle transitions and lead‑scoring actions behave as intended.

Translate Brand/Content assets into email experiences aligned with tone and design standards; create reusable modules/snippets for speed and consistency.

Serve as the email subject‑matter expert on the cross‑functional Retention Project; advise on cadence, messaging, and segmentation.

Facilitate work‑shopping sessions with AEs to capture real‑world objections and translate them into lifecycle content.

Test visual formats (static vs. GIF, image placement, button treatments, short vs. long copy, infographics, embedded video) to improve scannability and clicks.

Analytics & Reporting

Engagement:

opens, CTR, CTOR

Retention:

renewal rate, cross‑sell revenue uplift, churn or reactivation trends

List Health:

bounces, unsubscribes, spam complaints, inactive cohorts

Provide insight‑driven recommendations on what to scale, pause, or test next for leadership.

Qualifications Must‑Have Technical Skills

3–5 years hands‑on email marketing and automation experience (HubSpot required; Salesforce and Mailchimp preferred).

Proficiency in responsive HTML/CSS for email; comfortable with HubSpot Design Manager.

Advanced segmentation and targeting based on ICPs, lifecycle stage and behavioral engagement; comfortable with Active Lists, properties and dynamic content rules.

Proven ability to create and manage automated workflows/journeys (enrollment triggers, branching logic, goals, suppression, exit criteria).

Strong grasp of list health management (sunset policies, re‑engagement, frequency caps, preference center) to reduce bounces and unsubscribes.

Data fluency with the ability to build HubSpot dashboards and narrate insights for leadership.

Regulatory compliance familiarity: GDPR, CAN‑SPAM (consent capture, lawful basis, record‑keeping, regional sends).

Clear, concise copywriting that can adapt from prospecting to relationship‑building tones.

Confident facilitator, comfortable looping AEs into journey planning early and synthesizing feedback.

High attention to detail, strong QA discipline and a sharp design sense.

Nice‑to‑Haves

ABM, loyalty, or dedicated retention‑marketing experience.

Exposure to AI‑driven personalization or predictive lead scoring.

Experience localizing campaigns for international audiences (EMEA or APAC).

Success Metrics

Retention & Upsell:

measurable improvement in client renewal rates and cross‑sell revenue.

Engagement:

sustained gains in CTR, CTOR, and open rates above industry benchmarks while maintaining stable or declining unsubscribe rates; active engagement from top‑tier clients.

List Health:

healthy bounce rates, a shrinking inactive segment, and successful re‑engagement outcomes.

Deliverability & Scale:

a strong sender reputation with consistent inbox placement as program volume grows.

Corporate Communications:

timely, brand‑aligned delivery with positive internal and client feedback.
