The Marketing Budgeting Coordinator plays a key role in managing the company’s financial planning and analysis activities. This position is responsible for developing, maintaining, and monitoring budgets, forecasting financial performance, and providing insights to support strategic decision-making. The ideal candidate is analytical, detail-oriented, and skilled at communicating financial information to both finance and non-finance stakeholders. The function is part of the Financial Planning and Analysis unit, a critical part of Brand Marketing and an In-House Creative Agency. The role demands experience with business operations, high-level project organization and management, invoicing, communication, cross-functional collaboration, data input, attention to detail, partner relationships and integration, and productivity in a fast-paced environment. Marketing Operations involves data input, organization, communication and attention to detail across invoicing, technology, and operations efforts in a timely manner. This role is functionally supportive to Brand Marketing budget managers and ensures assignments are delivered on time, within budget, adhere to high quality standards and risk acceptance and meet team expectations. Assistant Marketing Operations Coordinator daily tasks include invoice reviews and tracking, data input, budget forecasting, time/timeline management, file management, meeting management, and project coordination and coverage across efforts as needed. Payrate: $75k Duties & Responsibilities

Monitor budget performance throughout the fiscal year, identifying variances and providing actionable insights.

Develop and maintain forecasting models to project financial outcomes based on trends, assumptions, and business initiatives.

Prepare monthly, quarterly, and annual financial reports and present findings to management.

Support departmental leaders with budget planning, cost analysis, and resource allocation.

Conduct variance analysis between actual and forecasted results, explaining significant differences.

Participate in financial modeling, scenario planning, and process improvement initiatives.

Ensure compliance with internal financial policies and external reporting requirements.

Support of relationship management and logistics project management, working with Leads, as assigned

Invoice management for Brand Marketing efforts, as assigned

Lead timeline development, communication/process documentation, file management, and meeting management

Project management tasks for program efforts as assigned leveraging a workflow tool like Asana or Workfront

Prepare and maintain operations dashboards, status reports, recaps, timelines and other management inputs as needed

Proactive partnership and collaboration with operations team, as well as internal and external partners as needed

Execute to ensure zero budget adherence risk

Help to create and maintain relationships with various partners

Coverage for budget managers as needed

Identifying and implementing process improvements to streamline operations and boost efficiency

Perform other duties as assigned

Skills & Qualifications

Exceptional attention to detail, organization and multi-tasking skills, including managing tasks and priorities in a fast-paced environment and meeting deadlines

Exceptional self-motivation and self-starter mindset and demonstrated sense of urgency, with a verified approach

Strong analytical, problem‑solving, and critical thinking skills

Demonstrated strong written and verbal communication skills

Ability to interface effectively with a variety of people to establish productive, ongoing relationships

Actively listens to others, collaborates and acts independently upon gaining information

Ability to maintain high level of professionalism and confidentiality

Proficiency with MS Office; Specifically, with Excel to create financial projections, timelines, forms, tables, charts and formulas

Proficiency with Workfront, Asana or other Project Management workflow tools

Experience with Salesforce, Oracle or other internal documentation tools and dashboards

Education & Experience

B.A. or B.S. in Business, Management, Finance, Accounting or related field required OR 6+ years equivalent experience in lieu of degree

4+ years management experience, including contracts, workflows, invoicing, forecasting, and timelines

4+ years of experience in budgeting, financial analysis, or related finance roles.

Intermediate to senior level experience working with workflow technology tools that facilitate project management, e.g., Asana, Workfront or equivalent
