Essential Duties and Responsibilities
Lead the tracking, reconciliation, and forecasting of divisional budgets, invoices, and expense reports, providing crucial financial analysis.
Serve as a key liaison for the Vice President, preparing briefing materials, coordinating high-level communications, and managing stakeholder engagement (both internal and external).
Lead complex communications projects from planning to execution using platforms like monday.com. Develop timelines, manage deliverables, and supervise external vendors/freelancers.
Champion operational efficiency by identifying, implementing, and leading training for new tools and systems that automate workflows and enhance collaboration.
Direct the planning and logistics for institutional events, photo/video shoots, and strategic initiatives, ensuring brand alignment.
Oversee the lifecycle of branded materials and promotional items, ensuring proper archiving and delivery to institutional repositories.
Facilitate internal retreats, cross‑functional meetings, and planning sessions, including developing agendas and tracking outcomes.
Required Qualifications
Experience: We are flexible! We encourage applications from recent college graduates (with a major in communications, marketing, or journalism) who have limited professional experience OR candidates with 1‑3 years of relevant work experience (e.g., secretarial, administrative, or general knowledge of communications and/or project management), even without a degree.
Advanced command of project management platforms (e.g., monday.com, Asana).
Strong experience with budget management, tracking, and financial reporting.
Excellent written and verbal communication skills.
Proven ability to manage multiple priorities, exercise independent judgment, and handle sensitive, confidential information with discretion.
Preferred Qualifications
Experience implementing technology solutions and driving process improvements.
Strong proficiency in Google Suite (Gmail, Docs, Sheets, Calendar, etc.) and experience with document/presentation formatting.
Exceptional interpersonal skills for effective collaboration across teams and with external stakeholders.
Familiarity with tools such as Workday, Marketing Cloud, Canva, or similar platforms.
