Role Description This role is a contract assignment at Palo Alto Networks. Contractors will not be employed by Palo Alto Networks but through our trusted staffing partners. We are seeking a highly organized and strategically-minded Media Business Operations person on a contract basis to establish and enforce the organizational and communication rhythms of our global media team. This role serves as the central operational hub, ensuring the flawless execution of all non-technical business processes, including financial governance, legal compliance coordination, and workflow management. This individual will be an indispensable partner to Media Leadership, focused on driving the highest levels of operational excellence and efficiency across all planning and review cycles.
Location - Santa Clara, CA (Hybrid) or Boston, MA (Remote)
Duration - 12 months
Key Responsibilities
Operational Business Rhythms & Cadence
Process Design & Documentation: Establish, document, and manage the end-to-end lifecycle for critical business rhythms, including annual and quarterly media planning, creative briefing processes, weekly campaign status meetings, and executive media reviews.
Business Rhythm Management: Own the master operational calendar and manage dependencies across internal marketing teams, external agencies, and regional stakeholders to ensure timely delivery of all assets and approvals.
Cross-Functional Communication: Prepare and synthesize complex operational reports, financial summaries, and strategic updates for the VP and C‑Suite, ensuring clarity and conciseness.
Workflow Governance and Tooling
Asana Subject Matter Expert: Design, implement, and maintain standardized campaign and project management workflows and templates specifically within Asana. Drive organization-wide adoption and best practices for project initiation, tracking, and closure.
Process Optimization: Identify bottlenecks in existing workflows (e.g., media planning, media approval cycles) and implement scalable solutions to reduce friction and improve time‑to‑market.
Centralized Resource Management: Oversee the centralization and organization of all media-related documentation, including contracts, planning templates, and final reports, ensuring easy access and version control.
Financial and Legal Oversight
Financial Governance: Act as the liaison with the Finance department, overseeing the accurate and timely management of the budget lifecycle, including forecasting, PO creation, invoice processing, and financial reconciliation with agencies.
Compliance Coordination: Partner with Legal and Procurement teams to manage vendor contracts, ensure proper media disclosure, and verify that all media activity aligns with evolving corporate and regulatory compliance standards.
Risk Mitigation: Proactively identify and communicate operational risks related to budget, timing, or legal adherence, developing and tracking mitigation plans.
Strategic Enablement & Team Capacity
Measurement & Reporting Standardization: Partner with Analytics and Data Science teams to standardize key performance indicators (KPIs) and reporting templates, ensuring consistent measurement and reliable insights across all campaigns and channels.
Onboarding & Training: Develop and maintain a centralized operations manual and lead the formal operational onboarding of new internal hires and agency partners to ensure immediate adherence to established processes and tooling.
Change Management: Champion change initiatives and clearly communicate the rationale and benefits of new operational processes to secure buy‑in across diverse, cross‑functional teams.
Required Qualifications
8+ years of experience in Program Management, Chief of Staff, or Central Operations roles within a high‑growth B2B marketing or media environment. Media experience is a must.
Deep, demonstrated expertise in Asana, specifically in designing complex project workflows, setting up reporting dashboards, and driving team‑wide adoption.
Exceptional project management skills and a proven track record of managing multiple, complex projects concurrently under strict deadlines.
Superior written and verbal communication skills, with the ability to articulate strategy and process clearly to both junior team members and executive leadership.
Proven ability to influence cross‑functional stakeholders (Finance, Legal, Sourcing, Compliance) without direct authority.
Expert‑level command of financial tracking, budget reconciliation, and procurement processes within a large organization.

Compensation The compensation offered for this position will depend on qualifications, experience, and work location. For candidates who receive an offer, this is the pay range that Magnit (the staffing agency) reasonably expects to pay for this position: $50/hour to $55/hour.
