Job Description Summary Supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close‑out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, disposals, and account reconciliations, and using the property management software to record, track, and report all financial workings of the community.
Responsibilities
Completes daily financial transactions, including collecting and posting rent, fees, and other payments, preparing daily bank deposits, reconciling bank accounts, and processing invoices and payables.
Operates the property management software (Yardi/OneSite) and ensures all required fields are correctly entered, updates and backups are performed, and system integrity is maintained.
Reviews resident files and accounting records to determine unpaid and/or late fees, communicates with residents about outstanding balances, implements collection procedures, and enforces leases to maximize revenue.
Reviews and submits vendor, contractor, and service provider invoices for payment, reconciles work performed or products purchased, obtains community manager approval, codes charges to appropriate Chart of Account codes, and manages communication among vendor, accounting, and owner as needed.
Follows the Company’s established procedures related to evictions, including proper notice requirements, evicting residents, and representing the community in court hearings and eviction proceedings.
Processes resident move‑outs, reviewing lease terms and notice requirements, applying appropriate deposit and cancellation fees, and handling disposition per established procedures and legal requirements.
Promotes resident satisfaction and retention by promptly responding to complaints, questions, and requests, and resolving service issues.
Serves as the on‑site supervisor in the absence of the community manager by organizing and delegating daily work, coordinating maintenance and make‑ready tasks, and ensuring the community operates in compliance with Company policies.
Assists in managing client/owner relationships by meeting with owners, conducting community tours, providing performance updates, and responding to owner requests as needed.
Physical Demands
Stand, walk, sit, bend, stoop, climb ladders, reach, carry objects, and crawl in confined areas for extended periods.
Work indoors and outdoors in all weather conditions (rain, snow, heat, hail, wind, sleet).
Push, pull, lift, carry, or manoeuvre weights of up to 25 pounds independently and 50 pounds with assistance.
Travel may be required to assist other properties, attend training, or meet business needs.
Work a flexible schedule, including evenings, weekends, and holidays.
Additional Compensation
Corporate Positions: Eligible for a quarterly or annual bonus program based on individual and company performance.
On‑site Property Positions: Eligible for weekly, monthly, and/or quarterly bonus programs.
