The Marketing & Assisting Agent Coordinator plays a vital role in supporting two Agents and ensuring an exceptional client experience from consultation through closing and beyond. This hybrid role combines administrative, marketing, transaction coordination, and licensed field support responsibilities to streamline operations, enhance marketing execution, and maintain a high-touch service standard throughout the listing and buyer experience.

This position requires strong organizational skills, attention to detail, excellent communication skills, marketing and social media competency, and the ability to serve clients professionally in the field. A valid real estate license is required for field-based duties.

Key Responsibilities Marketing & Social Media Support

Assist with social media planning, content creation, and engagement tracking

Maintain accuracy of bios, website profiles, and online business platforms

Support Agents with personal branding and digital presence

Capture property and lifestyle video clips for future social media use

Licensed Field Support

Attend listing and buyer appointments as a team representative.

Handle showings, broker previews, on-site logistics, and access coordination

Manage referred listings and buyers from consultation to close when assigned

Client Onboarding & Presentation Prep

Organize and package CMA and Listing Presentation collateral

Assist in presentation meetings and initial client introductions

Input new client data into CRM and ensure accurate database records

Listing Preparation & Marketing Execution

Help write ad copy, property descriptions, and brochure copy for Agents’ review

Install lockboxes and confirm signage installation

Execute property marketing initiatives per team standards

Client Service & Relationship Management

Support Agents with monthly touchpoints and client follow-up cadence

Assist with client events and strategic gifting

Prepare annual market reports and real estate reviews for past clients

Listing Management

Schedule showings and open houses; obtain and distribute showing feedback

Attend showings as assigned and ensure homes are secure post-showing

Attend inspections, follow-up inspections, and appraisal appointments

Conduct open houses and broker open events as planned

Track incoming inquiries and route leads to Agents

Manage transaction timelines and documentation through closing

Buyer Assistance

Attend buyer consultations and property tours as needed

Schedule buyer appointments and coordinate property access

Gather tour feedback and communicate buyer preferences to Agents

Prepare offers and route executed contracts to appropriate parties

Attend inspections, walkthroughs, and closings for buyer clients

Track buyer transaction timelines from contract through closing

Administrative & Operational Duties

Submit brokerage documents and track compliance requirements

Organize receipts, referral paperwork, supplies, and office resources

Help monitor Agents email inbox & calendars for urgent items and manage routine filtering

Assist with tracking expenses and reimbursement expense forms

Complete daily task list and uphold productive work cadence

Compensation

Base Salary Range: $45,000 – $60,000

Bonus/Commission: 1% – 3%

Qualifications & Requirements

Scheduled work days are Wednesday thru Sunday but, negotiable

Strong communication and client-service skills

Marketing, social media, and administrative proficiency

Strong organizational and time-management abilities

Professional presentation and client-facing confidence

Ability to work both independently and collaboratively
