Build relationships that encourage lease renewals (goal: 75%+ retention)
Handle conflicts professionally and fairly
Conduct renewal conversations with automated support
Maintenance Coordination (Occupied Units Only)
Review and approve maintenance requests through portal
Coordinate vendor responses using automation
Grant vendor access via smart locks
Ensure timely resolution with automated status updates
Track maintenance patterns to prevent costly issues
Property Inspections
Conduct semi-annual property inspections, or as needed for lease violations
Document conditions and ensure lease compliance
Identify deferred maintenance early
Move-In/Move-Out Coordination
Welcome new tenants with orientations and walkthroughs
Handle move-out notices and coordinate with Make-Ready Manager
Update systems to trigger seamless handoffs

Propertyware & AppFolio: Primary property management platforms
LeadSimple: Workflow automation and task management
Rently: Smart lock system for access management
Trumpia: Automated SMS/email for tenant communications
Make: Integration platform connecting all systems
Google Workspace: Documentation and reporting
Qualifications
Active Florida Real Estate Sales Associate license (or ability to obtain within 90 days)
Experience with Propertyware AND AppFolio (must have used both platforms)
2+ years property management experience
Strong customer service and communication skills
Excellent organizational and time management abilities
Tech-savvy with ability to learn new systems quickly
Professional conflict resolution skills
Valid driver's license and reliable transportation
Comfortable with smartphone apps and cloud-based tools
Preferred Qualifications
Experience managing single-family rental properties
Familiarity with Florida landlord-tenant law
Proven tenant retention strategies
Vendor management experience
Knowledge of Ocala rental market
Experience with workflow automation or CRM systems
