Personal Assistant – Freeman Hospital

Main Duties

Act as the first point of contact for the team, providing a professional and welcoming service.

Arrange and coordinate meetings, including taking accurate minutes and ensuring timely distribution of actions.

Liaise confidently with other services and departments up to Board level across the Trust.

Maintain appointment diaries for members of the Board Management Team.

Handle sensitive and confidential information with the utmost discretion.

Take on a Team Lead role, supporting and guiding administrative colleagues to ensure high standards and efficient workflows.

Person Specification Qualifications & Education

NVQ Level IV in Business Administration or equivalent qualification, or relevant experience.

GCSE level, including GCSE English Language Grade C or above.

Advanced keyboard skills, high standard of word processing (e.g. OCR/RSA III or equivalent).

Knowledge & Experience

Previous experience in a PA / secretarial role, including diary management.

Good working knowledge of Office software packages – Word, Excel, PowerPoint and Outlook.

Experience of medical terminology.

Experience of minute taking.

Desirable Criteria

Experience of staff management.

Knowledge of Complaints process.

Knowledge of NHS/Trust policies, procedures and guidelines.

Skills & Abilities

Excellent communication and interpersonal skills – able to communicate across a multi‑disciplinary team.

Excellent organisational skills and the ability to prioritise tasks.

Able to work on own initiative.

Able to manage time effectively.
